Job Title: Administrative Assistant I

This is a Temporary position limited to no more than 9-months.

Job Summary:

This is full-time Temporary Position.  As an Administrative Assistant I, this individual will provide direct administrative support to the Administrative Supervisor position and staff of the Office of Laboratory Animal Resources, with responsibilities including assisting with ordering materials, making reservations, and providing help with organizing communications efforts. To facilitate the required activities for this position, this individual must have experience in data entry and customer service.  This position requires excellent communication and organizational skills and the ability to manage multiple projects that may, at times, have competing priorities.

Key Responsibilities:

  • Will monitor the Facility Front desk phones and office door and direct contacts as appropriate.
  • Able to assist researchers or direct them to the appropriate contacts.
  • Able to adapt to constant changes, flexibility is a must, and willing to help when required to work at a different desk with limited advance notice.
  • Create and deactivate cage cards for the designated facility and cover additional facilities during Administrative Staff absences. Cage cards are stored electronically per the Length of Storage Policy. Communication with research staff when requests do not contain proper information
  • Scan and package Transnetyx shipments and stock Transetyx Kiosk
  • Prints housing cage cards.
  • Helps researchers get to CO2 euthanasia trainings.
  • Will update tracking of all directed calls and emails to verify service was completed when covering for others.
  • Assist with the facility audit by conducting assigned weekly scanning in assigned animal rooms.
  • Will assist Animal Care and Operations during Emergencies.
  • Updates Visitor’s logs when covering any facility front desk.
  • Maintains check sheets and scans as needed.
  • Follows the length of the storage policy.
  • Will enter data for sick/injured treatment billing into Cayuse.
  • Will assist in maintaining and ordering office supplies for the designated facility or when covering for others.
  • Will maintain, troubleshoot, and arrange service for the copier/scanner/fax machine.
  • Assist the Administrative Supervisor with any requests including special projects.

Work Location:   

Onsite - this role is expected to work onsite and is located in Aurora, Colorado.

The Office of Laboratory Animal Resources (OLAR) provides specialized husbandry and veterinary care to all animals used in research at the University of Colorado Denver and Anschutz Medical Campuses. The administrative and finance functions are under the oversight of the Associate Director of Administration and Finance.  This team supports the OLAR operations by providing procurement of supplies and research animal models, billing for services, providing training, human resource functions, rate setting and budgeting, and other administrative support as needed.  Animal ordering requires specialized knowledge of animal order systems, vendors, and procurement systems to ensure that all laws, regulations, IACUC, and University Policies are followed while also providing high-level customer service.  The individual is expected to operate with minimal supervision and make decisions according to all rules and regulations at the University, State, and Federal level in conjunction with the other members of the Office of Laboratory Animal Resources administration team and under the direction of the Administration Manager.

Qualifications:

Minimum Qualifications

Applicants must meet minimum qualifications at the time of hire.

  • A minimum of one years of equivalent administrative experience.  
  • Appropriate education will substitute for the required experience on a year-for-year basis.

Preferred Qualifications:

  • Excellent written and verbal communication
  • Proficient in Word, Excel, PowerPoint, Outlook, and Cayuse

Knowledge, Skills and Abilities:

  • Ability to communicate effectively in written form which includes the ability to check for typographical, grammatical, and spelling errors.
  • Ability to establish priorities in a fast-paced and ever-changing setting.
  • Ability to deal effectively with employees throughout OLAR and the University.
  • Well-developed professional skills in the areas of information presentation, general data entry, customer service, and office administration.
  • Ability to exercise tact and diplomacy in a variety of situations.
  • Basic skills in Microsoft Word, PowerPoint, Outlook, Excel, and knowledge of basic office equipment: scanner, copier, etc.
  • Knowledge of an animal research facility
  • Ability to maintain an activity log.
  • Ability to work with complex machinery.
  • Planning and organization skills.

    Anticipated Pay Range:

    The hiring rate for this position has been established at $20.82/ hour.  The above salary rate represents the University’s good faith and reasonable estimate of the rate at the time of posting.

    Your total compensation goes beyond the number on your paycheck. Temporary employees are only eligible for sick leave benefits.
