Job Summary:

Under the guidance of the Business Services Program Director, the Academic Services Manager will provide comprehensive administrative support to the Office of Research Education (ORE). This includes managing the day-to-day operations and oversight of admissions and recruitment for the 13 basic science Ph.D. programs within the School of Medicine. This role will assist in promoting the mission and values of the institution to the University community while building and maintaining collaborative relationships that are essential to the success of the mission of the office.

The Manager will document and implement consistent processes for the overall operations within ORE and will disseminate information clearly and effectively to Program Directors, Program Administrators, students, and stakeholders. This position will also be responsible for the fiscal oversight of program recruitment and enrichment budgets.

Supervision Received: Direct Supervision by the ORE Business Services Program Director.

Supervision Exercised: The position supervises six (6) or more professional, exempt full-time direct reports.

Key Responsibilities:

  • Represent the Office of Research Education on campus committees as related to Admissions. Facilitate the development and regular review of policy and procedure manuals for admissions and matriculation processing.
  • Provide guidance to staff, faculty and students on process for recruitment, admissions, and matriculation across the 13 basic science Ph.D. Programs.
  • In collaboration with all ORE Ph.D. programs, and program administrators plan and execute recruitment interviews including conducting campus tours and highlighting to prospective students the opportunities that are available on the state-of-art Anschutz campus.
  • Develop, implement, and monitor policies and procedures for processing and maintenance of student records in compliance with national, state, and university regulations/policies. Be able to report on student application data, demographic and statistical profiles concerning admissions, matriculation, diversity, and student progression.
  • In collaboration with staff, program administrators, and faculty plan annual orientations for incoming students ensuring that students receive adequate information prior to their orientation day and have been in contact with appropriate offices on campus to become certified for working in campus laboratories prior to their orientation. 
  • Manage and maintain the process for verifying compliance and background checks for all accepted students. Additionally, coordinate with the University International Office to set deadlines and confirm all requirements are met for accepted international students.
  • Utilize CU systems to collect and compile needed data for administrative reports and disseminate as requested to staff, faculty, and other outside agencies and/or entities.
  • Develop and sustain a consistent process for tracking student progression across the Ph.D. programs, updating as needed in the rare event of student transfers between programs. Facilitate the development and regular review of policy and procedure manuals for student progression tracking and processing.
  • Responsible for reviewing and routing program curriculum proposals, including interface with University’s Student Information System (CU-SIS)  and building new courses in the system, as necessary.
  • Utilize selected campus systems to disseminate Ph.D. course evaluations and confirm the effective execution of evaluations through time.
  • Coordinate with the University Registrar’s Office to update the academic calendar and course catalog annually. 

Work Location:

Hybrid – this role is eligible for a hybrid schedule of three (3) days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • A bachelor’s degree in education, management, counseling, public administration, higher education administration, business, social science, liberal arts, communications, or a directly related field from an accredited institution. 
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis, but not for the specific experience.
  • Five years experience with student admissions, recruitment, or student progression, which includes two (2) or more years of managing professional full-time staff.

Preferred Qualifications:

  • A master’s degree in education, management, counseling, public administration, higher education administration, or a related field.
  • Experience working in higher education with faculty, students, and staff, preferably within a health sciences institution.
  • Experience with integrated student information systems and data management/reporting.
  • Experience championing student diversity initiatives.

Anticipated Pay Range:

The starting salary range for this position has been established at $64,407 - $81,925 for the Academic Services Manager level.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
