|Summary of Duties||
Responsible for daily administrative and general office support for Building Automation Shop (BAS) in Facilities Operations and Development; serves as initial customer contact for shop; professionally represents BAS to staff, customers, and vendors; handles confidential and/or sensitive inquiries from customers, administrators, and staff; supervises other administrative support staff and students to ensure accurate, consistent and efficient support; relieves and supports Assistant Director and supervisors of routine and non-routine administrative duties; manages work flow for work requests, purchase requests, telecommunication devices, class registration and travel; coordinates procurement review and submittal processes at the shop level; prepares and produces routine to complex technical reports, charts and correspondence; creates and maintains files and records; researches and coordinates procurement for supplies and materials for all of BAS; tracks and monitors financial transactions and budget allocations in support of the BAS budget; coordinates all tasks related to payroll, personnel, purchasing, billing, procurement, and inventory maintenance and control; initiates resolution of personnel actions to include research and resolution of accruals and payroll data; develops, maintains, updates safety information; professionally represents BAS at meetings and on committees; assists other Operations areas when required; performs other related duties as assigned. Primarily works on first shift, but is subject to changes in shift, hours, days, and/or location as operations dictate.

Six months of experience (600 hours course work or training) in customer service or communications, including researching, analyzing & interpreting information; three months of experience (300 hours course work) in budgeting.
Previous experience in an administrative capacity; excellent organizational skills; ability to communicate professionally and effectively, verbally and written; ability to work independently and multi-task; ability to function efficiently in a fast-paced environment with changing priorities; ability to handle sensitive inquiries from customers/administrators; knowledge of University policies, processes, and procedures; experience with AIM, Microsoft Office, Kronos, and eTime reports; management and/or supervision experience; budgeting experience/training; significant experience in a facilities maintenance office environment; understanding of HVAC technical terminology.
