Department:

Works with the director and staff of the Helene Fuld Health Trust National Institute for Evidence-based Practice (the Fuld ) to deliver day-to-day operational support; serves as main point of contact; communicates with internal and external customers through in-person, phone, email and website contacts; provides administrative and support duties for the staff and programs: coordinates office schedules and meetings; maintains calendars and provides administrative support for director and associate director; maintains meeting agendas, minutes and other communications; assures timely and accurate communications for leadership; maintains and updates mailing lists; creates and manages bulk correspondences; processes travel requests and reimbursements; serves as point of contact for procurement and travel related matters; resolves issues with procurement transactions including interaction with suppliers and/or the College of Nursing Service Center; maintains fiscal records; assures compliance with policies and procedures; maintains and updates electronic presence; updates website regularly; posts to social media accounts regularly; coordinates conference exhibit booths; proactively identifies exhibit booth opportunities/discusses with senior director/team; secures optimal booth spaces; arranges booth space, supplies, and support; coordinates shared booth logistics when indicated (other CON areas or service partners); arranges procurement, shipping and return of displays and equipment; arranges travel logistics for staff attending conference/exhibit; assists with preparation and delivery of programs; provides on-site support at specified events for the Fuld Institute as needed; provides data entry for research projects, program evaluations and other special projects; creates, updates and manages data for surveys in survey systems; initiates payroll and human resource transactions.

Minimum Education Required

HS Diploma or GED; certification or vocational training may be required; Associate degree may be preferred.

Required Experience

2 years of relevant experience required; 4-6 years of relevant experience preferred; experience in providing administrative support of day-to-day business operations including managing multiple calendars and communications, coordinating events and meetings required; knowledge of University policies and procedures, including travel and procurement policies and Workday; independent decision-making skills and ability to multi-task, prioritize, and organize desired.
