The administrative assistant 3 provides a broad range of administrative and clerical support functions for the Assistant Dean for Students and Instruction, the Associate Dean for Faculty and Research, and the Associate Dean for Curriculum of The John Glenn College of Public Affairs; assists in scheduling, calendaring, and travel and purchase requests; acts as a representative of the College to greet guests, alumni, students, faculty and staff visitors to the Deans' offices; reports to and provides support for the Executive Assistant to the Dean; provides a professional and warm introduction to the College and fosters relationships with a variety of stakeholders through prompt and friendly responses to inquiries and ongoing communication; maintains discretion when organizing confidential information and communicating it to select individuals; attends meetings when necessary and maintains records of various documents; composes correspondence, enters data, creates and manages surveys, aids with process improvement, and generates reports upon request; aids in the orientation of new faculty; acts in accordance with University and College policies and procedures; Serves as a liaison for Glenn College faculty, assisting with HR entries into Workday; performs other duties as assigned.

Administrative Support Services: Provide Administrative Support services to Assistant Dean for Students and Instruction (ADSI).  The administrative assistant 3 will facilitate the scheduling of meetings and small-scale events with internal/external stakeholders.  Comprehensive management of calendar.  Assist and coordinate with the JGC Admissions & Scheduling Coordinator on course scheduling process.  Support services and assistance on accreditation data collection, reporting, and assessment processes.  Act as liaison between JGC Instructors and the ADSI.  Facilitate the collection and review of Course Syllabi for consistency and JGC Syllabi standards as outlined by the ADSI.  Support services and assistance on course evaluation summaries for l.  lecturers.  Provide support to the ADSI in the role of Chief Diversity Officer of the JGC and assist in special projects as assigned by the ADSI. 

Administrative Support Services: Provide Administrative Support services to Associate Dean for Faculty and Research (ADFR).  The administrative assistant 3 will facilitate the scheduling of meetings and small scale events with internal/external stakeholders, manage calendaring, assist the ADFR in the management of summaries of open ended course evaluations for faculty,  the Faculty Annual Review process, management and implementation of the faculty promotion and tenure process the coordination logistics for the Faculty Promotion and Tenure refresher training, logistics for new faculty orientation, manage records on faculty teaching assignment history.  Assist the ADFR and ADFC with the coordination and logistics of peer evaluation of teaching, assist the ADFR with the logistics and coordination of the college research committee, and assist in special projects assigned by the ADFR. Serve as the liaison for the Associate Dean for Faculty and Research, initiating HR transactions on behalf of the Associate Dean for employees that report to the Associate Dean inclusive of Graduate Associates.

Administrative Support Services:  Provide Administrative Support services to Associate Dean for Curriculum (ADFC). The administrative assistant 3 will facilitate the scheduling of meetings and small-scale events with internal/external stakeholders, manage calendaring, develop and/or aid in development or streamlining of processes, manages new instructor onboarding, assists in the coordination, logistics, and communication for instructor orientations, and maintains updated instructional resources.  The administrative assist 3 will manage records of potential, current, and past instructors and assists with surveys of doctoral, faculty, and instructor teaching interests, manage records on instructor teaching assignment history, assist in the archiving of curriculum committee meeting minutes, records of committee votes taken, and construction of the curricular updates document for faculty-staff meetings and assist in special projects assigned by the ADFC. Serve as the liaison for the Associate Dean for Curriculum, initiating HR transactions on behalf of the Associate Dean for employees that report to the Associate Dean inclusive of Graduate Associates.

Assist the Executive Assistant to the Dean: The administrative assistant 3 will Assist in the coordination of and logistics for the various annual college retreats/events organized by the Office of the Dean; Act as a receptionist and greeter for guests entering Dean's suite area; provide support on additional duties in support of the Office of the Dean and JGC College Community.

Financial Support Services: The administrative assistant 3 will process Spend authorizations, travel authorizations, and expense expenditure reports for the ADSI, ADFR, ADFC.  Alternate backup support for the Admin OPS Fiscal Coordinator.

MINIMUM REQUIRED QUALIFICATIONS
High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.  Experience  working in key Microsoft software such as Excel, PowerPoint, Outlook, and Word is required.  Candidates need to have comfort with ambiguity, strong organizational skills, and excellent oral and written communication skills and be detail-oriented.

Desired Qualifications

Bachelor’s degree in Public Administration or a related field.  A minimum of 2 years of experience supporting mid-level and/or upper-level leadership.  Experience working in higher education and experience working with diverse populations. Experience with The Ohio State University’s purchasing and travel systems as well as policies and procedures is highly valued. Knowledge of the Promotion and Tenure process is preferred.


Additional Information:

The hourly rate of pay for this position will be $20.53 to $27.36, to be determined by internal equity and the candidate's education and experience.
