Job Description

This position is responsible for maintaining department records including faculty office hours, load reports, syllabi, textbook adoptions, low-enrolled class requests, travel requests and vouchers, independent study requests, and overload requests. The administrative assistant performs other activities as needed including preparing faculty travel requests and vouchers; preparing faculty load reports; placing textbook orders; assisting faculty with the advising process; assisting faculty with their academic responsibilities; recruiting and retaining students; and compiling reports that may be required by university administration or external agencies.

This position is responsible for maintaining office records including purchasing; travel requests and vouchers; enrollment data, and caseload information. The administrative assistant performs other activities as needed including preparing travel requests and vouchers; preparing workload reports; placing supply orders; assisting business partners; taking meeting minutes; and compiling reports that may be required by university administration or external agencies.

This is a grant-funded position. Grant funded positions are time-limited and are contingent upon sufficient grant funding.

Roles and Responsibilities:

  • Maintains records related to the activities of the program;

  • Screens calls and makes appointments for the director;

  • Handles correspondence and prepares reports;

  • Maintains office equipment and assists in acquiring supplies;

  • Maintains active files and assists in the processing of related program information;

  • Assists with correspondence and maintenance of hiring files;

  • Assists in the preparation of travel requests and vouchers;

  • Prepares workload reports;

  • Verifies schedules;

  • Performs other duties as assigned.

Required Education and Experience:

  • High school diploma

  • 4 years of related experience.

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications;

  • Ability to multitask and work cooperatively with others;

  • Excellent written communication, analytical, interpersonal, and organizational skills;

  • Ability to work in a high stress environment;

  • Ability to work with sensitive information and maintain confidentiality;

  • Ability to work independently once given a project.
