Administrative Assistants (25%-50%)

To support its growth and foreseen staff transitions in the coming months, the School of Computer and Communication Sciences at EPFL, is looking to recruit new administrative assistants.

• Provision of general administrative support and logistics to the Professor and to the lab

• Accounting management (e.g., account follow-up, budget forecasting, financial reporting) of the lab’s funds

• Administrative management of staff members, support to hiring process, accreditation, absences management, onboarding, employees’ lifecycle in liaison with HR dept.

• Liaising with EPFL central services and academic services (Doctoral school, Sections, SAC…)

• Organization of visitors’ venue (visas, logistics, travel and accommodation)

• Organization of internal meetings, conferences, seminars and travel of collaborators

• Equipment purchases, expenses and credit card management and follow-up

• Full proficiency in both French and English is mandatory (both written and spoken)

• A solid previous experience as an administrative assistant is mandatory; a previous experience in academia is a strong plus

• Computer proficiency with a very good command of Word, Excel, Power Point; a working experience with WordPress is a plus

• At ease with figures (in particular with respect to managing budgets and funds)

• Ability to interact with all levels of faculty, staff and students

• Self-driven, good sense of organization and initiative, rigorous and attention to detail

• Proven ability to interact in a multicultural environment

• Commercial background or education (CFC de Commerce or equivalent)
