Position Summary
The Legal Officer (LO) ensures the tasks of Office of Legal to be undertaken in a timely manner and to a high quality. In particular, the LO is responsible for providing primary executive secretarial assistance to the Associate Director, Legal & Compliance through diary management, managing correspondence and documentation to ensure that actions arising from correspondence and meetings are completed in a timely and appropriate manner. The LA will provide supporting role to teams and coordinating the divisional projects as assigned by Associate Director, Legal & Compliance.
The LO provides support for the operations of RMITVN Members’ Council including the administration and coordinating the meeting papers submission, generally supports post-meeting communications/ follow up, and provides high quality governance support and advice to support best practice governance more generally.

Reports to: Associate Director, Legal and Compliance
KEY ACCOUNTABILITY
1.Support to Associate Director, Legal & Compliance
Manage working calendar, schedule of meetings and travel arrangements;
Take minutes of meetings as required and preparing minutes in a timely manner;
Draft and prepare the official correspondences to relevant authorities as required by the Associate Director, Legal & Compliance;
Manage budget and payment process (In Work Day) for the Office of Senior Manager, Legal;
Coordinate and execute cross functional projects within Legal and Compliance division to achieve objectives in agreed timeline and outcomes;
Main contact point to handle the tickets of the department;
Translate documents, correspondences and newspaper articles for specific projects;
Adhere to confidentiality of all documents.
Custody documents of the department.
Update documents of the department.
Manage all administrative tasks and activities of the department.
2.Project coordination for the Division
Provide support to the Division projects including planning, coordinating, monitoring the project and reporting the project status to management and documenting project activities with wide range of project areas including but not limited to Legal projects;
Collaborate with divisional team members to coordinate and implement relevant projects and activities;
Assist in maintaining effective communication with a wide range of high level internal and external stakeholders;
Update and maintain the master project database to monitor and track all projects including project schedule, milestones, due dates, and estimates for necessary resources and relevant information;
Provide admin, logistics arrangement and procurement support for the Division.
3.Professional tasks:
Research provisions/information in support for preparing advice.
Keep up to date with changing legislation.
Assist in preparation of applications for licensing tasks.
Act as the first contact point for department matters e.g. guide on appropriate templates, policies, working procedures, etc…
4.Other tasks as assigned by the Associate Director, Legal & Compliance.

KEY SELECTION CRITERIA
Bachelor Degree in Law
At least 3 years’ experience working in a similar role within a law firm, and preferably within a University setting.
Excellent communication skills, both written and verbal.
Experience from working within the corporate sector is an advantage.
Excellent customer service skills with a professional and proactive approach.
High level of accuracy and confidentiality in all correspondence and administrative documents adhering to the University and departmental standards.
Excellent organisational skills and attention to detail;
Demonstrates ability to analyse, interpret, evaluate and present information;
Well-develop interpersonal skills, including negotiation, liaison and cross-cultural communication; Advanced IT skills with knowledge of Microsoft Word, Excel, Access, PowerPoint and other relevant business software.
Demonstrated ability to show initiative, think outside the box and creatively solve problems.
Ability to display appropriate behaviours in line with the position, as per the RMIT Behavioural Capability Framework (Connectedness, Commitment to Excellence – Improve and Simplify; Imagination and Innovation; Impact; Inclusion; Agility).

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS 6.0 (General) with a score of at least 6.0 or 160 in Lingua Skills.
