Job Description

The Program Specialist performs administrative support for the assigned Aerospace Engineering Research Group within the Department of Aerospace Engineering.

Responsibilities:

  • Assists with research proposals (budget justification, required personnel information, current and pending funding, and liaison with sponsored research office), budgets, and monitors post-award spending on all grants and contracts. Makes sure key personnel commitments on all projects have been met and all spending are within the guidelines of the project. Determines payroll support for the Principal Investigator (PI), Co-Principal Investigator (Co-I), and their research group.
  • Provides quality control on travel expense reports. Point of contact for faculty on questions related to Concur and Texas A&M University and State of Texas travel policies. Assists with arranging faculty travel as able.
  • Assists with the planning and organization of research related meetings, workshops, or other special functions and coordinating these with the event coordinator, when applicable.
  • Applies, interprets, and communicates University and TEES Policies and procedures and serves as a resource for such. Monitors office procedures to eliminate duplication of effort and to streamline flow of operations.
  • Secondary coordinator of travel arrangements, itineraries, travel, logistics and reimbursements of departmental faculty candidates, to include research group guest.
  • Other duties as assigned.

Qualifications*

Minimum qualifications for Program Specialist II:

  • Bachelor’s degree in relevant field or equivalent combination of education and experience
  • Two years of related experience

Minimum qualifications for Program Specialist III:

  • Bachelor’s degree in relevant field or equivalent combination of education and experience
  • Three years of related experience

Minimum qualifications for Program Specialist IV:

  • Bachelor’s degree in relevant field or equivalent combination of education and experience
  • Six years of related experience

Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications.
  • Ability to multitask and work cooperatively with others.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, organizational, and customer service skills.
  • Maintains attention to detail and utilizes sound judgment.
