Job Summary
 

The Project Management Office Coordinator works closely with Project Managers to support project planning, execution, monitoring, and controlling of IT Services projects. This role provides daily support in maintaining project documentation and project tracking tools and coordinating meetings.

Responsibilities

  • Assists with the creation and maintenance of project documentation, including project plans, project schedules, meeting agendas, meeting minutes, and project status reports.
  • Collaborates with team members to ensure that project tasks are completed on time, within scope and budget.
  • Maintains and updates PMO portfolio management tracking documents and spreadsheets.
  • Compiles monthly PMO status reports with input from project managers.
  • Assists with quality assurance in PMO deliverables by reviewing deliverables against established guidelines and flagging exceptions for remediation.
  • Assists with planning and coordination of monthly team meetings.
  • Manages logistics for meetings/events including scheduling, agendas, and content.
  • Assists Executive Director with ad-hoc analysis related to PMO performance metrics.
  • Ensures that all project documentation is up-to-date and stored in a centralized location.
  • Communicates project status updates to the Project Manager, team members, and stakeholders.
  • Manages project issues, risks, and changes, escalating to the Project Manager as needed.
  • With direction, assists in tracking progress and identifying obstacles for project completion.
  • Communicates primarily to internal clients, occasionally vendors, developed either through job-related training and some on-the-job experience.
  • Performs administrative tasks such as arranging meetings, developing agendas, and, with guidance, preparing progress reports.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:

  • College or university degree in an IT-related field.

Experience:

  • Proficiency in Microsoft Office Suite (Word, Excel, Visio).

  • Strong organizational skills, attention to detail and deadlines.
  • A proactive attitude and a willingness to learn new skills.
  • A comfort level with varying levels of work ranging from simplistic tasks to more challenging project work.
  • Strong communication skills, both written and verbal.
