Job Title:  Inspiration for Men Administrative Assistant III

Job Summary:

The Administrative Assistant III position’s role is to provide support to residential and outpatient treatment programs located on the Ft. Logan grounds. Responsibilities include general office work, such as filing, copying/scanning documents, answering phones, mail delivery, communicating via email and ordering supplies. Additional duties include coordinating patient admissions and discharges and setting up client information in the electronic health care system, including payers, billing profile, staff relationships, ledgers, tracking and reporting and housing status.

Fiscal responsibilities include managing petty cash belonging to patients, tracking, and creating monthly financial ledgers for patients, making deposits weekly on patient payments (e.g. treatment fees, boarding house fees), and serve as clinics procurement cardholder, managing purchases, invoices, and monthly procurement reports, managing staff time sheets and submitting them to ARTS administrative office.

Key Responsibilities:

  • Coordinate and schedule patient admissions and discharges; create patient intake packet reflecting therapeutic group assignment, counselor, and housing assignments. Manage new patient set up and maintain patient information in Electronic Health Records (EHR) and across clinic databases, including payers, billing profile, staff relationships, ledgers, tracking and reporting, employment, and housing status.
  • Ensure smooth patient transition from residential program to OTC as it relates to financial charges and credits, EBT status, and general expectations.
  • Collect mail and administer to appropriate program(s).
  • Position may be required to drive personal vehicle or State vehicle (dependent on availability) to pick up patient related items, make bank deposits, and/or pick up emergency supplies.
  • Manage bi-monthly lists of OTC patient services and phase changes.
  • Maintain patient databases and billing status reflective progress/regressions in patients’ treatment.
  • Posting patient payments to the program and updating staff, related to treatment fees in both OTC and residential program.
  • Maintain list of current patients eligible for Medicaid treatment coverage; assess eligibility based on status changes.
  • Schedule initial medical/dental appointments as needed in residential treatment and follow up appointments.
  • Update excel spreadsheets related to various clinic activities: urinalysis testing, phase status, therapeutic group roster and telehealth/zoom schedule

Work Location:

Onsite – this role is expected to work onsite and is located at 3680 W. Princeton Circle; Denver, CO 80236.

Qualifications:

Minimum Qualifications:

  • Three years of experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the required experience on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience managing time sheets and staff schedules.
  • Clerical experience working with substance abuse treatment environment.
  • Experience working with diverse population.

  • Position may be required to drive a personal vehicle or State vehicle (dependent on availability) to pick up patient related items. You must possess and maintain a valid State of Colorado Driver’s License or be able to obtain one within 30 days of hire.
  • Must agree to fingerprinting and criminal background check. Required background checks include a review with the Colorado Bureau of Investigation (CBI) AND the Central Registry of Child Protection (Trails).
  • Subject to pre-employment, post-accident or incident or reasonable suspicion drug and alcohol testing per UCD Addiction Research and Treatment Services Department Policies.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as $48,396 - $56,143.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
