Position Summary

This position will be responsible for providing administrative and project management support to advance the fundraising and alumni engagement efforts of the College and MSU.

Oversee data and related projects for the Development and Alumni Relations Team

  • Manage timeline and planning for annual fund campaigns; responsible for all activities including telemarketing, direct mail, social, and digital strategies
  • Work with CVM Marketing/Communications team to develop communications for annual fund campaigns
  • Review and prepare clinic client lists for Greenline telemarketing campaigns
  • Manage Clinic Pet Memorial Program, with support from Dean’s office support staff

Support donor and prospect identification, engagement, cultivation, and stewardship

  • Oversee tracking/processing gifts received by the College, including initial processing and acknowledgement coordination.
  • Prepare reports for team and leadership meetings.
  • Access alumni, donor, and prospect records in Ascend database to extract data, produce reports, and update records including contact reports and proposals.
  • Serve as resource for internal and external requests related to unit endowments, stewardship, retrieval and use of alumni data, and other questions related to advancement.
  • Research, identify, and draft biographical information for major and special gifts prospects, including gathering gift/pledge and business history, assisting development officers with screening information, and preparing for cultivation/solicitation visits.
  • Prepare donor and prospect briefing papers and Advancement guest itineraries.
  • Assist in preparing stewardship materials, including scholarship notification packets and endowment activity reports.
  • Monitor and maintain inventory of donor recognition and communication materials, including placing orders with vendors

Provide administrative support for the Development and Alumni Relations Team

  • Serve as point of contact for the DAR office.
  • Schedule and coordinate internal and external meetings.
  • Assist DAR staff with developing and preparing proposals, case statements, and other support materials.
  • Oversee gift agreement process including providing draft gift/endowment agreements, confirming final agreement, and obtaining college signatures, university signatures, and donor signatures.
  • Assist with preparation and follow-up for prospect/donor meetings, including assembling meeting materials, meeting itineraries, data, contact reports, and proposal entry,
  • Assist Sr. Director with short- and long-term budget planning; provide regular budget updates.
  • Assist with developing annual Operating Plan.
  • Authorize, monitor, and approve purchasing card expenses.
  • Prepare vouchers and reconcile purchasing card statements in Kuali/EBS for DAR staff; maintain financial records/receipts for Kuali/EBS budget reconciliation.

Assist with advancement events and activities for the College of Veterinary Medicine

  • Research, plan, and implement Development/Alumni Relations (DAR) events, including individual donor/prospect meetings and large-scale annual events (e.g., Celebration of Generosity)
  • Identify trends in engagement activities, both at MSU and beyond, and recommend activities as appropriate; create and execute said activities accordingly.
  • Support research, planning, implementation, and execution of advancement events.
  • Maintain attendee registration and tracking for all events.
  • Create concepts for print/electronic collateral for College events; collaborate and coordinate with Mar/Com to execute concepts.
  • Identify criteria and generate guest/mailing lists for events.
  • Manage RSVPs and inform DAR staff of VIP guests attending; create and submit briefing reports for VIP guests.
  • Assist with DAR communication efforts.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which would normally would be acquired by completing a four year college program in Communications, Public Relations, or Marketing; up to six months of related and progressively more responsible or expansive work experience in professional fundraising, public relations, marketing, or a related field; or an equivalent combination of education and experience.
