Business Operations Specialist
Job Description
This supporting role within the Finance area of the College of Integrative Sciences and Arts (CISA) Dean’s business office will report to a Business Operations Manager. Responsibilities include, but are not limited to, accounting, organizing, and coordinating various business operations in procurement, travel documentation preparation, account management and maintenance and account reconciliation. This position is responsible for collaborating with key stakeholders to effectively address and efficiently provide financial services.
This position is based on the Polytechnic campus and is eligible for a hybrid work schedule.

Essential Duties
- Process requests including but not limited to, travel authorizations and expense reports, business-related reimbursements, and procurement of goods and services, using the University’s various financial systems (Concur, Workday, SunRISE, PaymentNet), in accordance with established procurement and financial policies.
- Follow up as needed with initiator and other department representatives to obtain all necessary information for business-related expense reports, purchases and/or travel requests.
- Review open encumbrances each month to ensure purchase orders are accurately closed and any applicable funds are returned to the account.
- Initiate journal entries and check deposits.
- Monitor a variety of account expenditures; maintain and reconcile budgets for various accounts, advise and/or determine which expenditures are within the budget guidelines; inform management of irregularities and proceed with corrective action.
- Assist with audit requests in gathering documentation for payroll, p-cards, and financial records.
- Represent the college/department and serve on various department and university committees as requested.
- Provide reports as requested.
- Perform other duties and special projects as assigned by CISA financial administrators.
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Knowledge of software and ASU systems including but not limited to Concur, Workday, PaymentNet.
- Experience in using Microsoft Office Suite: Excel, Word, Outlook.
- Ability to manage conflicting priorities, operating within a defined framework, establishing priorities, and meeting deadlines.
- Proficient in problem-solving and adept at developing and maintaining productive working relationships.
- Ability to work independently, ensuring timely completion of deliverables.
- Ability to adapt to changes in policies, laws, regulations, and the overall business environment.
- Experience in using attention to detail in composing and proofing materials.
- Ability to exercise discretion in handling sensitive and confidential situations and documents.
- Ability to acquire new skills and contribute to the team environment.
- Evidence of effective oral and written communication skills.
- Ability to research and stay informed about evolving ASU policies and procedures.
Working Environment
- Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting.
- Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds.
- Ability to clearly communicate to perform essential duties.
- Ability to work both independently or within a complex structured team.
- Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
