Job Summary
The Utah Smart Energy Laboratory (U-Smart) at the University of Utah is seeking a proactive and organized individual to join our team dedicated to designing resilient and sustainable power and energy systems.
Job Description:
The Academic and Administrative Officer will play a crucial role in providing comprehensive support to the U-Smart Lab, overseeing administrative duties and assisting on educational programs in collaboration with academic faculty, industry partners, and government stakeholders. The position will coordinate initiatives to foster engagement between students, industry experts, and policymakers, as well as providing essential support for knowledge dissemination, interdisciplinary collaboration, and student engagement. Ideal candidates will excel in resource and time management and contribute to the success of our initiatives and programs. This position will be scheduling meetings for stakeholder engagement, handle communication with internal and external partners, prepare documents, support meetings, ensure confidentiality, collaborate with the team, solve problems, and contribute to continuous improvement efforts.

Responsibilities
1. Provide administrative support to the lab and assist with project administration.
2. Manage partnerships with relevant institutions and stakeholders on behalf of the lab.
3. Oversee and coordinate programs such as workshops, webinars, seminars, trainings, courses, and certificate programs.
4. Organize, schedule, or facilitate workshops, trainings, or listening sessions.
5. Maintain and organize confidential data pertaining to the workshops and trainings, such as student records and student data.
6. Ensure compliance with program-specific regulations, grant requirements, and reporting.
7. Respond to inquiries and handle communication with stakeholders and partners.
8. Perform other duties and special projects as assigned to support the overall mission and objectives of the laboratory.

Minimum Qualifications
Bachelor’s degree in Business, Finance, or a related field, or equivalency (one year of education can be substituted for two years of related work experience). Three years experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.
Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.
Preferences
Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) plus three years of experience in program management required. Demonstrated human relations and effective communication skills also required.
● Bachelor’s degree in education, Business, Communication, Marketing, or similar.
● 3+ years of experience in project or program management.
● 1+ year of experience supervising or mentoring students.
● Experience supporting administrators, directors, or faculty leaders.
● Strong leadership, communication, and interpersonal skills for engaging diverse stakeholders.
● Ability to utilize strong organizational, administrative, and communication skills.
● Ability to adapt to changing environments and foster a collaborative, inclusive work culture.
