What we want

This position will serve as the first point of contact for callers and visitors to the Director’s Office which houses Student Assistance Services, Student Legal Services and the department’s senior leadership. Candidates should have excellent customer service skills and be able to manage difficult situations including calls regarding critical incidents and emergencies with students. This position will handle confidential information when scheduling appointments, managing records and interacting with visitors.

Starting Salary: $40,000/Annually

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Two years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Ability to multitask and work cooperatively with others

  • Excellent written communication, analytical, interpersonal, and organizational skills

  • Ability to work in a high stress environment

  • Ability to work with sensitive information and maintain confidentiality

  • Ability to manage a multiline phone system

Preferred Qualifications:

  • Customer service experience with sensitive information

Essential Duties/Tasks:

  • Customer Service - Serves as first line of contact for students, family members, and campus constituents, which includes managing a high volume of inquiries via phone, text, and office-wide email accounts. Screens and refers questions from parents, students, and other visitors, and makes referrals to university offices, as needed. Schedules staff appointments. Manages sensitive and confidential information shared by students or visitors.

  • Administrative Support - Provide administrative support to the staff located in the Student Life Director’s suite (Director, Senior Associate Director and Students’ Attorney). Use initiative and independent judgment to relieve these staff members of routine and administrative matters: correspondence such as letters, memos, forms, calendar management, schedule appointments and meetings. Assist with Student Legal Services records management.

  • Student Employee Supervision, Training, and Evaluation - Responsible for the hiring, supervision and evaluation of student workers who assist in the Director’s Office. Develops schedule for coverage of the front desk in the Director’s suite and assigns projects as necessary. Manage students to maintain a professional and confidential office environment with regard to visitors, mail, correspondence, phone calls and reports.

  • Department Process Management - Manage designated meeting room reservations. Serve as departmental parking representative: coordinate purchase of business parking placards. Coordinate the needs of new employees to the department: nametags/nameplates, department apparel, etc.

  • General - Assist in the total development of the Division of Student Affairs through participation on University, Division and Department committees and task forces. Advance the philosophy of multiculturalism and actively promote this in staffing, programming and student leadership. Evening and weekend work and/or travel may be required. Performs other duties as assigned.
