The Office of Admissions is seeking an Administrative Coordinator I to coordinate administrative support functions for the Admissions Operations unit. The ideal candidate will thrive in a fast-paced, structured work environment, views problems as opportunities and enjoys taking initiative to plan events or take on projects. The ability to complete work projects with accuracy and speed is highly preferred for this role. Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience..
  •   Two years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, presentation applications and remote hosted meeting applications.
  • Ability to organize work effectively.
  • Ability to prioritize objectives with a high level of discretion and independent judgment and initiative.
  • Ability to multi-task and work cooperatively with others.
  • Strong interpersonal and communication skills.
  • Planning and organizational skills with attention to detail.
  • Excellent customer service skills.

Preferred Experience:

  • More than two years of experience in office administration. Professional experience within TAMUS.
  • Customer service experience.
  • Experience working in Admissions or Financial Aid within an institution of higher education.
  • Travel and event coordination experience.

  Preferred Knowledge, Skills, and Abilities:

  • Familiarity with related student information systems such as Banner, AIS, Howdy, MOSES and/or SLATE.
  • Familiarity with Concur and Workday.
  • Proficiency in Microsoft Office programs including Word, Excel, Outlook, and PowerPoint.
  • Working knowledge of the student applicant portal.
  • Ability to establish and maintain effective working relationships.
  • Demonstrated time management skills.
  • Ability to work with sensitive information and maintain confidentiality.
  • Knowledge of best email practices.
  • Scheduling and event coordination skills.
  • Strong proofreading skills including attention to detail. 

Responsibilities:

  • Office Management - May serve as the office manager. Ensures adherence to office procedures. Develops and/or evaluates office procedure improvements, administrative changes, and new initiatives. Coordinates the maintenance of files, records, office supplies, or equipment.
  • Travel and Event Coordination - Coordinates travel arrangements and prepares itineraries. Coordinates meetings, seminars, and other special events and may provide on-site support.
  • Department Operations Coordination - Applies, interprets, and/or assists in implementing management policies or operating practices for Admissions department. Makes recommendations for and creates process improvements pertaining to invoicing, data reporting, and vendor interactions.
  • Special Projects - Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs. Performs analyses and project summaries.
  • Administrative Support - Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor. Processes payments in Laserfiche and coordinates with Academic Affairs Business Services for purchases, interdepartmental transfers, and payment of vendor invoices.
  • Supervision - Hires, trains, and supervises student workers and support staff. Performs other duties as assigned.
