Job Summary

The UCSF California Preterm Birth Initiative (PTBi) is a multi-year, transdisciplinary research effort to reduce the
burden of prematurity among those at highest risk for preterm birth—women and birthing people of color. PTBi
brings together academic researchers from different disciplines, healthcare providers, departments of public
health, community-based organizations, and other stakeholders to work in partnership with affected
communities. Most importantly, PTBi partners with women and birthing people with lived experience during all
phases of the research including developing and prioritizing the research agenda, enhancing study designs to
ensure cultural appropriateness and maximum impact, and ensuring dissemination of results to a broad audience
of stakeholders.
The Associate Director for PTBi will work in partnership with the PTBi Executive Director to provide oversight and
day-to-day management of: sponsored research portfolio in coordination with RMS, Dept. Post Award Team and
other related offices at UCSF. This position will also provide lead direction to the PTBi administrative staff. The
ideal candidate for this position should have a strong background in project management with proven expertise
in grants management. The incumbent must have demonstrated ability in complex project management. This
includes a proven track record of managing multiple projects and staff. This person should have content
expertise in the field of Maternal and Child Health or reproductive health. This position will serve as the primary
administrative lead for the PTBi RAP program and will be encouraged to develop relationships with various
community, governmental and other nonprofit organizations to raise funds and awareness and build resources.
Administrative Management
• Provide lead direction to the administrative/operations PTBi staff
• In collaboration with Executive Director, develop and institutionalize project management protocols and
procedures for all aspects of the PTBi-CA work.
• In collaboration with the Executive Director, develop, refine, and implement SOPs for all parts of the
initiative.
• Participate as a member of the leadership team including helping to plan and facilitate weekly team
meetings.
• Serve as a co-lead for the planning and implementation of PTBi symposia and events.
• Work in collaboration with Executive Director and other members of the leadership team to develop
workforce development opportunities within PTBi.
Resource Allocation Program (RAP) Granting Mechanism:
• Oversee all aspects of RAP award process and granting implementation.
• Partner with the Academic Coordinators to provide oversight of grantees.
• Assess the balance of granting across the entire portfolio in order to ensure gaps in research needs are
being adequately funded.
Development and Sustainability:
• Works with program leadership to identify and pursue funding opportunities and revenue streams.
• Write and review Letter of Intent (LOI) and grant submissions for Center funding and sustainability.
• In collaboration with Executive Director, discover, prepare, and submit grants to fund functions of the
PTBi-CA work.
• In collaboration with Executive Director, oversee and manage fundraising efforts and campaigns.
• Evaluate projects and partnerships for their strategic advantage in relationship development and ability
to be funded.
Contracts and Grants:
• Oversee and manage all large contracts and purchase orders on awarded projects. This includes helping
with the drafting of language for contracts and purchase orders.
• Facilitate RFP processes when needed and in coordination with the appropriate UCSF procurement team.
• Work in partnership with Research Administration team to ensure all contracts and purchase orders are
compliant with university guidelines and regulations.
• Coordinate with all appropriate central UCSF and Dept. Research Support teams in the adherence to
sponsored research policies and procedures.

Systems Development:
• Works with Executive Director to assess PTBi’s systems to develop and improve procedures to allow for
continued growth of the initiative. This includes assessing technological needs and products that could be useful
tools for project management for PTBi grantees as well as internal systems.
• In partnership with the PTBi Project Coordinator and the Executive Director, annually reviews and
updates. Standard Operating Procedures (SOPs) for all PTBi functions.
• Works in partnership with PTBi leadership to develop a new granting mechanism to support grants that
do not fit within the parameters of the RAP mechanism.
• Develops a framework for tracking ROI on PTBi investments.
• Works in partnership with PTBi leadership to develop a long-term sustainability plan for PTBi which
should include extramural funding and philanthropic gifts.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $84,400 - $133,800 (Annual Rate).

The UCSF California Preterm Birth Initiative (PTBi-CA) is a multi-year, transdisciplinary research effort to reduce the burden of prematurity among those at highest risk for preterm birth-women of color and lower-income women. Recognizing the role of "place" as a strong determinant of health and wellbeing - including the risk of preterm birth - PTBi-CA takes a place-based approach focusing our work on affected communities in San Francisco, Oakland, and Fresno. We bring together academic researchers from different disciplines, healthcare providers, public health departments, community-based organizations, and other stakeholders to work in partnership with affected communities. Most importantly, we partner with women with lived experience during all phases of the research, including developing and prioritizing the research agenda, enhancing study designs to ensure cultural appropriateness and maximum impact, and ensuring dissemination of results to a broad audience of stakeholders. Required Qualifications

  • Advanced degree in related area and / or equivalent experience / training
  • 3+ years of progressive administrative management experience
  • Thorough knowledge of administrative, budgetary, human resources and financial
  • principles and practices
  • Strong oral and written communication skills
  • Strong interpersonal skills and ability to work with diverse groups to achieve results
  • Strong ability to work collaboratively with internal and external peers and managers
  • Strong background in project management

Preferred Qualifications

  • Academic background and experience in selected area of research preferred
