Position Summary
This position works in the Department Chair’s executive suite and supports two executive directors, an executive consultant, and a vice chair in the Department of Anesthesiology. Provides robust calendar and scheduling support, coordinates office functions, programs and schedules; provides administrative services, and performs specialized/technical duties with minimum supervision.


Job Description

Primary Duties & Responsibilities

  • Coordinates staff services, interoffice activities, schedules, programs, special events, and related administrative needs.
  • Administers/prepares reports, minutes, correspondence, and administrative materials required for the direction of the department.
  • Maintains established departmental policies, procedures and objectives, including regulatory records for license, reports and notifications as necessary.
  • Maintains executive suite keys, locks, and mailboxes. Coordinates ordering and distribution of supplies and handles problems concerning material received.
  • Monitors the general maintenance of the suite, notifies maintenance of problems, places work orders and follows-up with housekeeping on the completion of tasks. Assists with IT and telephone problems and works with vendors to establish and verify terms and agreements.
  • Assists with expense reports and purchasing processing.
  • Assists with visitors and customers questions and needs.
  • Provides backup coverage as needed for Executive Assistant to the Chair.
  • Provides scheduling support for weekly Grand Rounds series.
  • Supports department alumni database and recruitment events.   
  • May supervise other nonexempt staff.
  • Performs other duties as assigned.

Preferred Qualifications

  • Excellent computer skills, including Word, Excel, Outlook and PowerPoint.
  • Financial/payroll applications such as Workday.
  • Demonstrated success in promoting and supporting a commitment to equity, diversity, and inclusion and possess emotional intelligence and a strong commitment to building a collaborative and safe culture.
  • Prior experience with University systems and procedures.
  • Ability to work effectively and pleasantly with a diverse range of faculty, staff, learners, department leadership, and medical school and hospital administration.
  • Ability to excel at time management and organization, with a high level of accuracy and attention to detail.
  • Excellent oral and written communication skills and ability to work under pressure.
  • Ability to handle confidential information professionally.
  • Ability to think creatively.
  • Exceptional oral and written communication skills.
  • Demonstrated initiative in setting priorities and seeing them through to completion.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Three years of relevant experience.

Salary Range
$20.76 - $32.21 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
