Summary of Duties:

Under general supervision, the Receptionist/Police Records administers a wide variety of duties performed in support of police operations and assisting law enforcement personnel. Work involves utilizing computer-based programs and reports to manage data for the records unit by accurately maintaining confidentiality of sensitive information, printing and disseminating records and case reports as required, establish and maintain a variety of files and police records for investigative and statistical reports, filing and retrieving information for department personnel as requested or otherwise necessary. The incumbent will be required to meet strict deadlines, use independent judgment and the ability to interpret and apply a variety of laws, policies and conformance with numerous interacting procedures. This is an 8:00am to 5:00pm, Monday through Friday position. Office is open to all law enforcement personnel and accessible after hours to obtain information on police reports as needed.


Required Qualifications:

  • High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.

  • Possession of, or ability to obtain by time of hire, a valid driver’s license.

Preferred Qualifications:

  • Demonstrated computer software skills and experience with Microsoft Office applications including, Outlook, Word, Excel and Access. 

  • Demonstrated experience with Filemaker Pro or other similar database software. 

  • Demonstrated experience and ability to accurately prepare documents and enter data.

  • Demonstrated experience working under pressure and meeting deadlines. 

  • Demonstrated experience with time reporting and payroll processing. 

  • Demonstrated experience preparing personnel documents. 

  • Demonstrated organizational skills. 

  • Demonstrated experience with procurement procedures. 

  • Demonstrated experience providing excellent customer service. 

  • Demonstrated ability to communicate effectively both orally and in writing. 

  • Demonstrated ability to work independently. 

  • Experience with appropriately handling confidential data and materials.
