Summary of Duties:
The Principal Assistant is responsible for providing a full range of comprehensive and confidential administrative assignments in support of the Office of the Chancellor. Primary duties are administrative support for the Associate Vice Chancellor for Equity, Diversity and Inclusion, the Assistant Vice Chancellor for Strategic Partnerships and the Chancellor’s Chief of Staff.
The Principal Assistant is expected to maintain communication and collaboration among internal and external constituents, meeting planning and management, event logistic planning, office responsibilities, budget monitoring and maintenance as well as supporting the goals of the Chancellor’s Office.
This position is the first point of contact in the Chancellor’s Office and positive interpersonal skills with students, faculty, staff and community members is critical. This position is proactive and undertakes projects with little direction yet is a team player.
Duties include: complex and intricate calendar management; meeting planning with senior level management, administrative officers and University constituents; general office management, fiscal budget tracking, records organization and management; special event planning and coordination across small to very large events; detailed and complex travel planning.
This position works closely with other university assistants to proactively plan, manage and accomplish tasks. This position also has broad knowledge of campus and university functions in support of the professional programs.
This is position is efficiently responsive, undertakes a variety of projects, gathers and summarizes information for reports. Work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion.
Required Qualifications:
A Bachelor’s degree in business administration or other relevant field and four (4) years of progressively responsible management work experience. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.
Additional Qualifications:
Ability to work flexible hours, including evening and occasional weekends.
Preferred Qualifications:
Professional work experience in higher education and knowledge of university structure.
Working knowledge of Washington State University policies and procedures.
Experience managing office operations including, payroll, travel, budgeting, and purchasing.
