Training & Organizational Development Assistant

Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher).
In lieu of a Bachelor’s degree, an Associate’s degree (foreign equivalent or higher) plus two (2) years of directly related full-time experience or four (4) years of directly related full-time experience may be considered. Two (2) years full-time administrative experience. Adult learning experience and/or experience working with learning management systems (LMS)/comparable database management systems. Experience with Microsoft Office Suite and/or Google Workspace.

Preferred Qualifications:
Additional years (3+) of full-time administrative experience. Human resources experience. Experience scheduling training/meetings.

Brief Description of Duties:
Reporting to the Training & Organizational Development Manager, the Training & Organizational Development Assistant   will support the unit’s mission of providing training and professional development opportunities that will create the capacity for staff and faculty to thrive. The Training Assistant provides a high level of administrative and customer service support. The incumbent will need to be forward-thinking, and a self-starter. A high level of confidentiality is needed for this role, along with excellent interpersonal communication and writing skills. The Training & Organizational Development Assistant needs to have excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).

  • Events:
    • Coordinate logistics for training events, including scheduling, room setup, and equipment preparation.
    • Collaborate with trainers to prepare for events, including creating and distributing training materials, presentations, and other resources.
    • Coordinate participant registration and track attendance.
    • Maintain training records and databases, ensuring compliance, accuracy and confidentiality.
    • Assist with maintaining the Learning Management System.
    • Provide technical support during virtual training sessions and troubleshoot issues as needed.
    • Provide support with travel and other accommodations.
  • Programs:
    • Work closely with other areas in central HR, and other divisions to ensure alignment of training initiatives with organizational goals.
    • Interact with Labor Relations, OEA, Legal, etc. to assist with training programs that can be offered to employees.
    • Collect feedback from participants and compile evaluations to assess the effectiveness of training programs.
    • Make recommendations to the Training and Organizational Development Manager.
    • Compile data, solicit and research information from a variety of sources, develop and maintain reports, and audit virtual learning modules and videos.
  • Communications:
    • Work with HR Communications to update information on training websites and produce promotional materials.
    • Responsible for ensuring that communication related to training is created and sent.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a Management Confidential position. This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
