Berklee Summer Programs, a subdivision of POPP, offers over 25 short-term, in-person programs in music, theater, and dance. These programs annually welcome over 2,500 students to campus and facilitate online course enrollment. The Campus Life Advising Assistant, under the direct supervision of the Associate Director, Summer Programs Student Life, often serves as the initial contact for prospective and registered students and families. 

In this role, you will provide high-quality customer service through email, phone, and in-person consultations, primarily focusing on addressing campus needs following student program enrollment. Additional responsibilities include on-site assistance and troubleshooting at department reception areas, program check-ins, and other events as required. You will manage the [email protected] email, handling post-enrollment needs, and perform various administrative residential life functions. 

The office hours are Monday through Friday, from 9:00 a.m. to 5:00 p.m., excluding a one-hour lunch break and holidays. The Campus Life Advising Assistant role is expected to begin as soon as possible and continue through mid-August.

Job Duties:

  • Manage inquiries from prospective students via email, telephone, live chat, and in-person meetings.

  • Communicate Summer Programs policies effectively to ensure they are easily understandable to students.

  • Direct prospects and students from other Berklee divisions to appropriate advising teams professionally and seamlessly.

  • Maintain communication with the existing Summer Programs student body.

  • Develop a thorough understanding of both external-facing and backend department technologies, including Salesforce CRM.

  • Identify recurring customer concerns, suggest improvements, and propose edits for web/communications to the department leadership.

  • Support on-the-ground programming as needed, including staffing program check-in events and certificate distribution. Some evenings, early mornings, and weekends may be requested on select dates in June, July, and August.

  • Manage the [email protected] email as the primary responder.

  • Perform residential life duties, such as preparing and distributing key packets for move-ins, addressing maintenance requests in the residence halls, providing campus information, sharing general program schedules, advising on Aspire extracurricular activities, and addressing various Student Life post-enrollment concerns as needed.

Required Qualifications:

  • Strong written and oral communication skills, with the ability to explain programming, policies, and procedures clearly and concisely in person, by phone, and by email. Must be comfortable speaking on the phone.

  • Customer service-oriented attitude, with the ability to maintain professional composure and represent the department in a friendly, helpful manner.

  • Strong organizational, administrative, and analytical skills that require meticulous attention to detail.

  • Excellent time management skills and the ability to multitask in a fast-paced setting with frequent interruptions.

  • Comfortable using standard office hardware and software, e.g. Apple OSX, Google Suite (Google Docs, Sheets, Drive, etc.), Word, and Excel.

Preferred Qualifications:

  • Familiarity with music or other performing arts.

  • Knowledge of a language other than English.
