Student Health Center Administrative Assistant (Temp)

Position Summary

The Administrative Assistant position is highly customer service oriented. This individual is responsible for the daily administrative operations of the Student Health Center, including, but not limited to, communicating with patients and other visitors, answering phones, scheduling appointments, filing, completing data entry, processing payments, using and maintaining the electronic medical records system, and coordinating between the medical staff and patients. The role of Administrative Assistant requires a high level of integrity and the ability to maintain confidentiality and discretion in all areas related to his or her work.

Education & Experience:

1. At least one year of office/clerical work. Experience in a medical office is preferred.
2. High school diploma required. Baccalaureate degree desired; related work experience considered in lieu of degree.
3. Working knowledge of computers and basic software required.

6. High level of computer skills with working knowledge of Macintosh and PC computers, as well as software programs such as Microsoft Office.
7. Ability to maintain professionalism during emergency or high stress situations
8. Ability to perform CPR and First Aid if necessary (training and certification will be provided upon hiring if not current).
9. Ability to work with many different people, be a team player, and handle a variety of tasks well and with a good sense of humor.
10. Ability to assist and communicate with patients and other customers from diverse backgrounds.
11. Maintain a lifestyle consistent with sound Christian principles and standards of conduct promulgated by the institution.

Primary Duties

1. Assist in all daily clerical and administrative operations of the front office; including, but not limited to, scheduling appointments, answering phones, filing, and data entry.
2. Clearly communicate information to patients and visitors regarding Health Center operations and policies.
3. Use and maintain the electronic medical records system including scanning, code management, template revision, scheduling, secure patient messaging, and other duties as required.
4. Coordinate daily patient flow, i.e appointments, walk-ins, emergencies.
5. Fulfill medical records requests in compliance with medical records laws and office policies.
6. Assist medical staff in providing administrative support for patient care.
7. Process student payments for services, complete accounting forms, and manage accounts receivable with accuracy.
8. Responsible for maintaining sufficient inventory of medical and administrative forms and office supplies.
9. Track and record incoming student health related paperwork.
10. Act quickly and efficiently when the medical staff needs assistance.
11. Address emergency situations with a calm professional demeanor, initiating the appropriate patient care with medical staff quickly and efficiently.
12. Assist in intercepting or initiating communication calls with Campus Safety officers regarding general information or emergencies.
13. Assist the medical staff with driving the medical cart or carrying the EMT supplies.
14. Assist with physically impaired patients.
15. Reach high and low to perform certain daily office functions. Sometimes the use of a step stool is necessary.
16. Willing and able to serve as interdepartmental courier, making frequent deliveries and pickups and performing other jobs that require substantial walking around the campus.
17. Must be willing to take on special projects or other work duties that have been deemed necessary by the Director or Office Manager for the growth of student health services.
18. Must be willing to consider working overtime to maintain service hours.

Supervision Received:

This position receives direct supervision from the Health Center Office Manager. Performance evaluations will be conducted on a yearly basis by the Office Manager.

Other Qualifications:

a) Must be willing to agree with the university’s sanctity of life standard and not promote counseling for abortions.
b) Must sign a confidentiality statement.

Hours Per Week: 20

Months Per Year: 6

Hiring Range: $16.00 - 17.28 per hour
