Job Summary

The Staff Specialist may perform duties including but not limited to the administration and management of all activities for the Internal Medicine Residency Program and the leadership team.

Duties and Responsibilities

  • Oversee the development and management of all activities for the trainees, including special events, conferences and lunch meetings.
  • Provide clerical and administrative assistance to the program leadership team
  • Editor / Operator of curriculum website
  • Manage all curriculum for website that is functional and user-friendly
  • Work directly and indirectly with departmental communications director for education Assistant for Program Education Leads – Website specific Curriculum Provide data on quarterly basis
  • Coordinate meetings between leads and program leadership
  • Manage divisional reports yearly
  • Coordinate meetings
  • Compile data and produce documentation to be presented
  • Coordinate Semi-Annual Meetings
  • Prep documentation required and needed by program leadership
  • Management of CONCUR and office transactions within the residency program related to lunches for the residents and staples orders.
  • Process resident reimbursements.
  • Manage Resident Research and Stead Research Grants
    • Monitor and track all scholarly activity residents complete during training
    • Maintain Database with all program wide scholarly activity
  • Share and tabulate data with respective leadership
  • Clerical and administrative tasks as directed by the Program Director, Senior Administrator, and Associate Program Directors.
  • Clerical assistant to Program Director.

Minimum Qualifications
Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.


Experience

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
