Staff Assistant

Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher degree). Two (2) years of full-time experience in a college or university setting in one or more of the following areas: academic advising, transfer advising, student services, enrollment/retention areas, supporting student employment, processing/supporting student travel.   (Equivalent student employment may be considered).
Preferred Qualifications:
Master's Degree (foreign equivalent or higher). Experience in a higher education environment in accounting, and/or procurement. Experience working with one or more computer systems such as: PeopleSoft, Nolij, Oracle, Wolfmart, Brightspace, SOLAR, 25Live, Concur and Avid. 
Brief Description of Duties:
The Staff Assistant will provide administrative support and academic advising within the department of Mathematics. The Staff Assistant will be an active leader and participant responsible for advising undergraduates, enrollment management and course scheduling.  In addition, they will oversee the appointment of student assistants as well as graduate student travel and scheduling/supporting departmental seminars.  The Staff Assistant will be part of a team that supports the faculty and students within the department and will be called upon to assist with general graduate and undergraduate administrative tasks as needed.  The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with an exceptional attention to detail.

Administrative Responsibilities include:

  • Appoint graduate and undergraduate Student Assistants working in the department of Mathematics.  This includes needed paperwork as well as biweekly approving payroll in solar.
  • Work with Graduate Director to ensure all graduate student travel has been approved/processed through the appropriate system and reimbursements have been submitted timely.
  • Work with faculty and graduate students to schedule/support all seminars within the department.  This includes Colloquium, Math Club as well as weekly specialty area seminars.

 Support Academic Planning for Students

  • Advise undergraduate Mathematics majors and potential majors about degree requirements a BS in Mathematics. This involves one-on-one meetings on campus as well as interacting with students via phone, e-mail, and other communications media.
  • Meet with students to plan course schedules for upcoming semesters by providing up-to-date information about changes in courses.
  • Maintain updated progress records for mathematics majors. Ensure that upcoming records are updated in a timely manner to ensure that all requirements for the major will be met in time for graduation, and if necessary, reach out and meet with students regarding any missing courses.
  • Identify and analyze academic planning for students, especially freshmen and transfer students, and research ways to improve these practices.
  • Research, prepare and promote information relevant to courses, degrees, and professional development for Mathematics majors, including information on research opportunities, experiential learning opportunities, and internship opportunities.
  • Update and provide students with information about graduate school timeline, personal statement requirements, resumes, as well as other areas of graduate study and career opportunities.
  • Maintain advising materials such as requirement checklists and suggested semester schedules, and ensure that the Undergraduate Bulletin and Undergraduate Mathematics website is accurate regarding current sources of useful information for students, faculty and staff.
  • Represent the mathematics department at orientation, presenting requirements. Participate in other undergraduate events such as Admitted Student Day and Commencement.
  • Evaluate course syllabi for courses completed at other institutions, complete and sign transfer evaluation forms.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

 

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
