Job Description Summary:
The Sourcing and Engagement Coordinator is an initial point of contact for the Kansas Recruitment and Retention Center (KRRC) and whose primary responsibility is to identify qualified and quality health care professional candidates through sourcing and personable engagement that leads into the recruitment process. This position will lead sourcing efforts, maintain databases, and track candidate pipeline activity. In addition, this role is responsible for managing and posting positions on all web-based resources utilized by KRRC. This position serves as a key contact point for internal and external healthcare training programs. This role manages key processes for KRRC, provides administrative support to the team, and serves as liaison between candidates and recruitment coordinators.
This is a full-time on-site position with potential for remote work (no more than two (2) days per work week). Limited traveling, including overnight stays, is required.

  • Must be able to travel both in and out-of-state, with occasional overnight travel.  Must have valid driver’s license and provide own transportation on occasion.

Required Qualifications

Education:  Bachelor's degree in marketing, healthcare, business, human resources or related field.  A combination of education and related work experience may be substituted for the degree on a year-for-year basis.

Work Experience:

  • Minimum of two years of experience in an office environment including significant communication with internal and external audiences.

  • One year experience creating and maintaining database and spreadsheet information.

  • Experience working with and maintaining confidential information.

  • Advanced experience and knowledge of Microsoft Office products.

  • Experience with the successful implementation, evaluation, and adjustments of administrative processes.

  • Experience managing multiple calendars, scheduling appointments, and coordinating events.

Preferred Qualifications

Work Experience:

  • More than two years of experience with database or task management systems

  • Experience in physician and/or healthcare recruitment or candidate sourcing, including posting positions to online job boards.

  • Experience collecting information and creating reports.

Skills:

  • Knowledge of health care delivery system, elements of medical practice, and health care terminology

  • Knowledgeable of rural health care needs and workforce

  • Passion for serving underserved populations and communities, both rural and urban

  • Excellent communication skills, both written and verbal

  • Highly organized with exceptional ability to multi-task and consistently keep attention to detail while managing a high volume of correspondence.

Job Duties Outlined:

  • Utilize current resources and identify and develop new resources to enhance candidate sourcing and build a quality candidate pool of healthcare providers. 

  • Coordinate and maintain candidate engagement and sourcing processes such as the candidate screening system; initial candidate contact; scheduling telephone interviews with recruitment staff; and collecting candidate and client information for the purposes of moving the recruitment process forward.

  • Identify potential candidates by utilizing healthcare professional job sites; sourcing lists; conference and exhibit contact information; Rural Health and KRRC program participants; and professional organizations.

  • Respond daily by phone or email to inquiries from potential candidates and engage them in RHES and KRRC program services.

  • Track and manage activity of candidates from general lead to hired and/or inactive within Recruitment Management System and/or other databases.

  • Post Client health care positions and ensure job descriptions are up to date on all web-based resources and databases.

  • Assist Manager in strategic tracking and reporting data as directed, including placement retention and other data points. Create monthly reports based on collected information.

  • Evaluate effectiveness of current candidate databases/spreadsheets and adjust as necessary.  Be effective in identifying and creating new processes with KRRC team as needed.

  • Market the services of and represent RHES/KRRC at health care career fairs, medical conferences, and the Kansas Career Opportunity (KCO) events to identify potential candidates for KRRC.

  • Participate in the development and implementation of marketing strategies to acquire new candidates and clients. 

  • As part of the KRRC team, initiate and maintain relationships with key stakeholders representing internal and external healthcare training programs.

  • Cross-train within KRRC team to ensure recruitment efforts are consistent, this includes candidate telephone interviews, as well as client engagement and contract renewals.

  • Participate in special projects and other duties as assigned.

  • Represent all RHES programs on all campuses.  Work directly with residents, students, and other departments to answer questions.  Assist with coordination of activities such as residency visits, KCO, resource lunches, and special activities or marketing efforts.

  • Train recruitment staff on operation of all external recruitment web sites including posting position descriptions, searching outside candidate databases, and evaluating candidate inquiries.

  • Participate in the delivery presentations in representation of KRRC and RHES.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
