The Health Science Center (HSC) is looking for a Senior Business Administrator  to serve as a member of the College of Medicine Business Affairs  team. Job Description Summary: The Senior Business Administrator I provides oversight and manages the business operations and personnel of a single business services unit, providing support to 5 research intensive departments. Coordinates the planning, preparation, and implementation of the annual budget for designated academic departments. This position supports and advises the Executive Director and Associate Dean of Finance on matters and issues relating to the departmental budgets of the designated units; manages the administration of funds and procedures relating to the departmental units’ financial operations including reporting and policy implementation; serves as the conduit through which academic business decisions are communicated to department heads and departmental business support staff.

Required Education:

  • Bachelor’s degree or equivalent combination of education and experience.

Required Experience:

  • Eight years of related experience in general office, accounting, or personnel operations, including related supervisory experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications. Interpersonal and communication skills.
  • Planning and organizational skills.
  • Ability to multi-task and work cooperatively with others.

Preferred Education:

  • Bachelor’s degree in business related field

Preferred Experience:

  • 10 years of related experience in accounting or business 5 years experience in TAMU business positions 5 years experience with FAMIS; Canopy
  • 5 years experience in grants management Experience working with TAMU SRS
  • Experience working with diverse individuals and communities

Preferred Special Knowledge, Skills, and Abilities:

  • Excellent communication skills and ability to lead a team effectively while working to improve business processes.
  • Excellent skills in creating spreadsheets and budgets.

Job Responsibilities:

Pre Award and Post Award Financial Management

  • Provide oversight and guidance to business leads in research intensive departments for the development of pre award budgets and management of post award budgets.
  • Liaison with SRS leadership related to COM to develop and ensure standardized reporting and financial management tools are provided, ensure timely creation of project and cost share accounts and timely creation/funding of interim fund accounts.
  • Foster and develop collegial relationship with SRS staff related to COM and work to improve the efficiency and standardization of processes provided to COM.
  • Prepare reports, analyze and provide information regarding financial condition of the COM research portfolio in collaboration with COM research office.
  • Participate in COM leadership discussions, develop reports and analyze data relevant to USNWR and other internal/external research expenditure reporting.
  • Develop and implement metrics for timely management and submission of costing allocations and Time and Effort.

COLLEGE ANNUAL BUDGET PROCESS

  • Responsible for managing the annual budget process related to college of medicine research intensive departments.
  • Works with department heads and business leads to develop and forecast annual operating budgets, analyze historical, current and projected financial data and develop strategies to maximize available funds.
  • Prepare reports, analyze and provides information regarding financial condition of the research core of college.
  • Coordinates and submits annual report for fund balances and reserves related to college of medicine research intensive departments.

General Business Oversight

  • Provide oversight and direction for all business processes handled by the research intensive business team to include Accounts Payable, Accounts Receivable, Account and Reserves management.
  • Provides interpretation of university policies and procedures for departments supported.
  • Communicates changes and updates as it relates to business practices and operations.
  • Provides solutions to problems related to business practices.

Team Lead and Team Member

  • Provide oversight and management of business team supporting research intensive departments.
  • Lead team in development and implementation of standardized business processes.
  • Problem solve and trouble shoot areas of inefficiency.
  • Conduct annual evaluation process and development of team throughout the year.
  • Actively participate in College of Medicine business team; collaborate positively with other team members, work towards improved and standardized business processes across 4 business service teams (research, academic, administrative, clinical), offer constructive suggestions and feedback, work towards cross training plan for continuation of business services due to employee absences or position vacancies.

REPRESENTATION ON UNIVERSITY COMMITTEES

  • Represent the college in meetings with university counterparts as related to business topics.
  • Provide input to develop and improve business guidelines, procedures, and processes.
  • Provide leadership by participating on councils, committees, and task forces.
  • Serve as college liaison with various campus and system entities, including academic affairs, financial management operations, purchasing, risk management, general counsel, internal audit, and others.

FAMIS/TEES E-OFFICE MANAGER

  • Serve as FAMIS e-office manager and TEES e-office manager for research intensive business core.
  • Manage FAMIS and TEES virtual office structures and electronic access for academic departments and research centers and institutes of the College. Approves FAMIS access for new department staff. Advise department staff on FAMIS procedures. Serves as the liaison between units and FAMIS and TEES security manager.

Other Duties

  • Performs other duties as assigned.
