The Senior Administrative Coordinator II will be responsible for serving as an assistant to the Department Head. The selected candidate will coordinate support and services related to faculty affairs such as: hiring and searches, promotion and tenure, and faculty reviews. This position will also supervise staff and student workers and provide administrative to the unit as a whole. What You Need to Know

Salary: $50,162.00 - $64,480.00

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Seven years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of presentation and spreadsheet applications

  • Strong interpersonal, planning, and organizational skills

  • Strong organizational skills in file management and retention tasks and ability to prioritize objectives with a high level of discretion, independent judgment, and initiative

  • Ability to cultivate and maintain professional working relationships

  • Ability to build a positive work environment and be helpful, respectful, approachable, and team oriented

Preferred Education and Experience:

  • TAMU Experience with faculty hiring or faculty related matters

  • Experience with TAMU software and platforms such as: Faculty Affairs Intranet, Hiring Workflow Portal, Interfolio, Faculty 180, HOWDY, andCOMPASS

  • Experience working with higher administration

  • Experience with supervising staff

Responsibilities:

  • Personal Assistant: Serves as the assistant to the Department Head. Provides high-level administrative support to Department Head. Meets regularly with Head to review current initiatives and projects, establish/reaffirm upcoming deadlines, and discuss short and long term planning. Assists other departmental officers as needed. Processes incoming and outgoing correspondence. Plans and coordinates meetings between Head, faculty, and students. Reviews for accuracy and compliance all documents requiring Head's signature. Ensures document confidentiality, as well as the confidentiality of faculty personnel files. Attends meetings of behalf of the department head and associate department head as needed. Performs special analyses and project summaries. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Administrative Management: Resolves complex, highly sensitive, and confidential administrative matters. Coordinates office workflow and administrative functions as the Office Manager. Develops and approves schedules, priorities, and standards for achieving goals. Develops administrative objectives and strategies. Establishes goals and objectives of administrative operations. Plans and coordinates logistical and administrative support for events, meetings, specialized activities, projects, and long term initiatives or new programs. Compiles external publications and internal reports which may be used to research and support developmental opportunities. Analyzes internal processes and timelines and recommends and implements procedural or policy changes. Develops administrative and technical procedures. Recommends guidelines, policies, rules, and regulations. Serves as Record Retention coordinator for the department. Coordinates departmental key control. Oversees facilities inventory including scheduling and assignment of department space.

  • Faculty Support: Assists the Department Head in conducting faculty searches. Coordinates and plans digital meetings, travel arrangements, and itineraries for campus interview. Prepares hiring paperwork for new faculty.  Maintains annual review files for tenure-track and non-tenure track faculty. Assists the Department Head with the coordination of the promotion and tenure review process. Prepares tenure and/or promotion dossiers and correspondence for outside evaluators. Maintains confidential personnel files. Serves as the liaison to International Faculty & Scholars Services to process new H1B Visa and H1B renewal forms and process Permanent Residency forms and correspondence. Manages the faculty workload and compliance reporting process.

  • Mentoring and Supervision: Supervises, trains, and evaluates the work of administrative staff and student employees.
