The Office for Student Success is seeking a Senior Administrative Coordinator II to help ensure smooth administrative functioning of a department containing five student success units and a charge to directly support thousands of students in alignment with the university's student retention and graduation goals. We are looking for an individual who believes in our mission and who takes pride in the administrative work that enables our team to advance student success outcomes. The person in this position will lead a team of administrative coordinators working collectively and cohesively to support our office. The ideal candidate will therefore have significant office management experience, superb organizational skills, attention to detail, a spirit of service, and the ability to work well in a team environment are critical to success in this position. What You Need to Know

Salary Range: $50,162.00 - $64,480.00 (Based on selected hire’s qualifications)

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • Seven years of related experience.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multitask and work cooperatively with others.

  • Strong interpersonal, planning, and organizational skills.

  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Microsoft Office Suite.

  • Leadership experience.

  • Zoom or other teleconference platforms.

Responsibilities

Office Management

  • Coordinates administrative support functions for the entire Office for Student Success.

  • Serves as an office manager.

  • Develops and approves schedules, priorities, and standards for achieving administrative operation goals under the direction of the Executive Director.

  • Convenes other administrative staff in the office to coordinate services and standardize practices.

  • Develops, plans, and coordinates administrative activities and services related to scheduling, program planning, and overall office functioning.

  • Develops, evaluates, monitors, and ensures adherence to office procedures.

  • Performs other duties as assigned.

Project management

  • Provides administrative support of programs, projects, and initiatives of the entire Office for Student Success.

  • Monitors project timelines, coordinates with leadership/unit needs, and works to identify and trouble shoot issues.

  • Develops, adapts, combines, and makes improvements to services, processes, or programs in conjunction with the Executive Director and OSS unit leadership.

  • Assists with the procurement of items needed for promotional and outreach efforts.

  • Interfaces with a variety of university departments and external vendors and service providers.

  • Assists with logistics for a variety of Office for Student Success projects such as special events, courses, meetings, conferences, and workshops.

Operations Oversight and Coordination

  • Formulates, interprets, and/or implements management policies or operating practices to support the efficiency and effectiveness of operations of the Office for Student Success.

  • Develops administrative and technical procedures.

  • Researches, interprets, compiles, and responds to inquiries about OSS programs, services, and policies and procedures under the direction of the Executive Director.

  • Oversees the administrative components of hiring and onboarding new employees as well as the processing of outbound employees.

  • Coordinates the maintenance of office supplies and equipment.

  • Coordinates purchasing, payroll, interdepartmental transfers, venue and room reservations, and related operational matters.

Support the Executive Director

  • Manage the Executive Director’s calendar, scheduling and rearranging meetings as necessary.

  • Coordinate travel arrangements and prepare itineraries.

  • Manage purchases and support initiatives as necessary.

  • Draft documents and forms for signature.

Supervision

  • Supervise, train, and evaluate full-time administrative coordinators and part-time student workers.

  • Assigns tasks and evaluates job progress.
