The Senior Administrative Coordinator I, is responsible for providing high level administrative support to the sections and serves as a contact for communication and information related to the section leader and faculty. Excellent interpersonal, written and communication skills are essential as this position serves as a liaison between section leaders, faculty, and the office of PVFA Faculty Affairs. We are looking for a collaborative, versatile team player who is dependable and demonstrates initiative. Time management, flexibility, and the ability to work as a motivated self-starter are all crucial for success in this position. The ideal candidate prioritizes professionalism, works well within deadlines and is capable of applying strong organizational skills while being flexible in their daily routine. Qualifications

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Six years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Excellent interpersonal, written and communication skills.

  • Experience with spreadsheet, and presentation applications.

  • High attention to detail and excellent problem-solving skills.

  • High degree of self-initiative and ability to think and work independently.

  • Ability to work with groups of people and be helpful, respectful, approachable, and team oriented.

  • Strong planning and organization skills with a high level of confidentiality maintained

Preferred Qualifications:

  • Experience in task management and managing business operations.

  • Eight years of administrative experience. 

  • Administrative experience working in higher education.

  • Experience with TAMU policies and procedures as they pertain to faculty matters.

  • Use of Interfolio (Faculty Search, Faculty RPT, Faculty 180), Concur

Essential Duties/Tasks

Administration:

  • Provides complex administrative support for the assigned section chairs of the School of Performance, Visualization and Fine Arts.

  • Participates in the planning and execution of administrative operations.

  • Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Handles complex confidential issues.

  • Formulates, interprets, and implements policies, rules, and regulations.

  • Oversees evaluation of documents submitted for administrator’s signature.

  • Provides support for long-range planning and scheduling activities.

  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.

  • Assists in the preparation of faculty annual reviews, mid-term reviews, and post-tenure reviews.

  • Works closely and in collaboration with PVFA Faculty Affairs office and serves as a liaison between section leaders and faculty and the PVFA Faculty Affairs office.

  • Provides backup for other section support staff.

Faculty Recruiting:

  • Coordinates travel and itineraries for faculty candidates and seminar speakers.

  • Coordinates recruiting visits and schedules meeting rooms.

  • Coordinates preparation, dissemination, and retention of meetings and search materials.

  • Provides support for faculty search committee chairs.

  • Coordinates onboarding for new faculty and employment paperwork such as processing visas, parking, etc.

  • Processes payments and creates expense reports in Concur for any expenses incurred for faculty searches.

System Records Management:

  • Serves as a liaison between the Dean’s office administrative staff, business office, assigned section leaders.

  • Coordinates draft responses on behalf of the section leaders that may require conducting research and applying policies and procedures.

  • Reviews and coordinates signature items, such as proposals that require the section leader and dean’s office approval.

  • Maintains retention of faculty search materials.
