Job Description

Job Summary

Works under direction and coordinates detailed administrative support for the department and its faculty.  Works under the direction of the department head and coordinates administrative support for the department to include the exercise of discretion and independent judgement with respect to matters of significance. Also supervises assigned student workers and is expected to take initiative on matters of importance.
 

Responsibilities:

  • Coordinates detailed administrative duties in support of the department head such as correspondence, travel arrangements, statistical analysis, file maintenance, special reports, and other complex responsibilities.

  • Coordinator for all P&T documents along with faculty progress reports, evaluations and maintaining Laserfiche files.

  • Administrative support for faculty hiring including preparing ads, working in Interfolio, corresponding with potential hires, working with the DOF and the Dean’s office for approvals.

  • Assist the department head in writing and reviewing important departmental documents such as standard operating procedures, strategic vision plan, annual report, etc.

  • Coordinates travel arrangements and prepares itineraries for faculty hiring and special guests. Plans and coordinates meetings and other special events.

  • Monitors project timelines and identifies issues. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Administrative support to faculty committees and faculty meetings. Including faculty search and agenda for visitors to the department and the awards committee. Maintain all necessary files.

  • Schedule and maintain department head’s calendar.

  • Other duties as assigned.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Education:

  • Six years of related experience.

Knowledge, Skills and Abilities:

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multitask and work cooperatively with others.

  • Excellent interpersonal and communication skills.

  • Planning and organizational skills.

  • Knowledge of Word, Excel, PowerPoint, and other relevant software.

  • Having knowledge of TAMU software applications such as Interfolio, Laserfiche, etc. is a plus.
