Provide support for students and internal partners in areas related to academic records, including the maintenance of student academic records. Assist in grade processing, transcript processing, grade changes, attendance changes, degree conferrals, etc. Respond to faculty and staff inquiries about academic records.

Essential Duties & Responsibilities:

  • Audit and maintain student academic records and resolve program/plan discrepancies.

  • Assist faculty and staff with inquiries about academic records.

  • Process grade and attendance changes.

  • Respond to enrollment and graduation inquiries.

  • Process course substitutions.

  • Reconcile Readmit records, conduct campus file reviews and process historical file recalls.

  • Answer general inquiries related to student records.

  • Process transcript requests.

  • Ability to work overtime and non-standard hours as required.

Job Skills:

  • Demonstrated commitment to customer service.

  • Proficient follow up skills and attention to detail.

  • Must have strong computer skills and proficiency in Microsoft Office products, including Word, Excel and Outlook.

  • Excellent oral and written communication skills.

  • Demonstrated knowledge of student system technology, experience with PeopleSoft Campus Solutions preferred.

  • Demonstrated ability to manage details and multi-task in a fast paced, deadline driven work environment with academic records specialists.

  • Excellent oral and written communication skills with strong command of the English language.

  • High level of interpersonal skills and demonstrated poise, tact and diplomacy.

  • Ability to work collaboratively and support efforts of team members as well as with a diverse community and with all levels of the University.

  • Ability to work overtime and non-standard hours as required.

Work Experience:

  • 1-2 years’ experience in records processing in an admissions, registrar or similar setting.

Education:

  • Bachelor’s degree preferred.

Other:

  • Must be able to travel occasionally should a business need arise. For most roles, travel would not be common. Travel may involve plane, car or metro. In accordance with ADA policies, reasonable accommodations regarding travel limitations can be provided. Travel will be more common for roles such as Account Executives (25 - 50%), senior leaders (10 – 20%) or Capella Core Faculty (5 – 10%).

  • Ability to work onsite in Corporate or Campus location (in a typical office environment) may be required based on role. If so, this would include being mobile within the office, including movement from floor-to-floor using elevators or stairs.

  • If offsite or hybrid role, must have access to work in setting which enables meeting all requirements of the role (including privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.

  • Faculty and Federal Work Study roles require access to work in setting which enables meeting all requirements of the role (including computer, privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.

  • This role may require lifting, however reasonable accommodations will be provided in accordance with our ADA policies.

  • Must be able to meet critical thinking and problem solving aspects aligned to job duties, as well as effectively communicating with co-workers.

  • Must be able to work more than 40 hours per week when business needs warrant. Accommodations related to schedule may be considered.
