Job Purpose
​​The Receptionist is the first point of contact for patients and customers at Health and Counseling Services (HCS). The position is responsible for creating a warm, welcoming environment, while providing excellent customer service, and maintaining an effective and efficient front desk operation.

Function Details
  • Provide excellent customer service as the first line of contact with HCS patients/customers.
  • Greet patients/customers upon arrival to the office, ensuring guests are comfortable and are connected with the correct office personnel.
  • Provide clear and reassuring communication to patients who present for appointments, including wait time or delays.
  • Demonstrate and practice cultural sensitivity when engaging a diverse population.
  • Be aware of surroundings and consistently keep the work area and patient waiting area clean and tidy.
  • Maintain a collaborative and cooperative relationship among the healthcare team by communicating information and participating in team problem-solving methods.

  • Check patients/customers in and out of the clinic.
  • Capture complete and up to date demographic and insurance information.
  • Prepare the healthcare record for clinic visit and document information to complete patient check-in process. Note patient cancellations or no shows.
  • Schedule follow-up appointments as requested.
  • Assist in scheduling transportation (health rides) for patients to and from campus for health-related concerns.
  • Answer multi-line phone and respond to patient/customer requests, referring when appropriate. Monitor and respond to voicemail and email messages.
  • Maintain strict adherence to HIPAA and FERPA guidelines and confidentiality practices.

Minimum Qualifications
  • Two years (2) general secretarial / office support experience, preferably in a healthcare office.
  • Proficiency in computer applications, including Word, Excel, Outlook, and internet-based software applications.
  • Knowledge and experience in the use of general office equipment.
  • Excellent written and oral communication skills, including knowledge of healthcare terminology.
  • Excellent interpersonal and customer service skills, ability to maintain open and friendly environment in a high traffic department.
  • Detail oriented and strong organizational skills.
  • Ability to maintain professional composure in multi-faceted, fast-paced work environment.

Desired Qualifications
  • ​College-level coursework or Bachelor’s degree.
  • Familiarity with electronic health records.
  • Experience working in a healthcare office.

Physical / Environmental Qualifications
  • Ability to lift up to 25 pounds occasionally.
  • Ability to sit for extended periods of time.
  • Ability to be mobile campus wide for appropriate business needs.
  • Ability to perform wrist and hand movements as related to keyboarding.
