The Office of Graduate and Postdoctoral Scholars within the School of Medicine is seeking a Program Specialist to support the mission of the Graduate Program in Life Sciences (GPILS) and the Office of Postdoctoral Scholars (OPS). This position reports to the Director of the Office of Postdoctoral Scholars (OPS) and the GPILS Program Manager. In general, the position will require analysis of statistical and financial data among other duties.  Specifically, the successful candidate will spend 50% effort on preparing, analyzing, and reporting statistical data for program budgets, while maintaining and coordinating all necessary files into a united budgetary format and general financial oversight. In addition, the successful candidate will spend 50% effort on analyzing data to supporting training grants preparation, as well as administrative and programmatic efforts for postdoctoral and student career development.

Primary Responsibilities:

Budget & Financial Responsibilities – 50%

  • Prepares and maintains financial and budget spreadsheets in order to analyze financial data and prepare accurate and timely financial reports.
  • Prepare and distribute accurate, concise, well-organized, and timely financial reports, presentations, and financial information which may include financial charts, forecasting, and/or budget vs. actual variance analysis.
  • Examines financial statements for completeness and accuracy and conformity with fiscal policy, assisting in maintenance and reconciliation where needed.
  • Works within deadlines to analyze and provide basic financial and budget forecasts for areas such as salaries, fringe benefits, indirect cost recoveries, state funds, revolving funds, grants and contracts, fund balances, and other areas as needed.
  • Communicate with schools and administrative units to understand their financial activity, request data or additional information about a particular issue, discuss anomalies or discrepancies that are observed, and assist them with the preparation of various internal or external financial data requests.

Office of Postdoctoral Scholars and Career Development – 50%

Grant Support

  • Assist with helping collect data for training grant tables and generating outcomes data for websites.
  • Collect and track alumni data for all GPILS students for recruitment, training grants, and website initiatives.

Office of Postdoctoral Scholars (OPS) and Career Development Events Support

  • Assist with evaluations, advertising, and planning of workshops held by the OPS and Career and Professional Development Office
  • Perform other related duties as assigned.
 

Qualifications

  

Education: Bachelor's degree.

Experience: Two (2) years administrative or program coordination experience.

Supervisory Experience: N/A

Certification/Licensure: N/A

Other: Related experience to program may be substituted for education.

Prior experience with research or sponsored programs in a higher educational environment is preferred.

Knowledge, Skills, Abilities:

Knowledge of position requirements. Knowledge of all applicable requirements, regulations, and laws. Skill in effective use of applicable technology/systems. Ability to efficiently and effectively organize and work with large files and datasets. Ability to effectively communicate both verbal and written thoughts, ideas, and facts. Ability to work cooperatively with others and independently. Ability to demonstrate, understand, apply, and adhere to the UMB Core Values of Respect and Integrity, Well-being and Sustainability, Equity and Justice, and Innovation and Discovery. Ability to prepare financial statements and budgets.

Hiring Range: $60,000 - $65,000 (Commensurate with education and experience)
