Job Summary:

The Program Manager P12, under direction, plans, organizes, directs, and manages day-to-day activities, developing and implementing procedures for the administration of the program. 

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Five years of related work experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of program planning and implementation.

  • Knowledge and experience managing relationships with partners and key stakeholders.

  • Knowledge and experience managing large scale projects.

  • Skill in communicating effectively both verbally and in writing.

  • Skill in establishing and maintaining effective working relationships with all levels of staff, partners, and vendors.

  • Ability to multi-task and work cooperatively with others.

  • Ability to operate a personal computer and use of software such as Microsoft Office.

  • Ability to manage multiple tasks/projects requiring the flexibility in work prioritization to meet demanding deadlines.

Preferred Experience:

  • 10 years of related work experience.

  • Experience in project management, quality assurance, organizational effectiveness, contracts and agreements.

  • Experience working with diverse individuals and communities.

Preferred Special Knowledge, Skills, and Abilities:

  • Skill in synthesizing, analyzing, and evaluating highly complicated and technical information and translate it easily understandable and concise documents and oral presentations.

  • Skill in identification of risks and gaps and able to develop creative and workable solutions to complex problems.

  • Skill in interpersonal relationships, including the ability to work with people under pressure, negotiate among multiple parties, resolve conflicts, and establish and maintain effective working relationships with various level personnel.

  • Ability to assess problems; to develop alternative solutions; to develop and interpret policies and procedures; to prepare concise status reports; to communicate effectively; and to plan, assign, and/or supervise the work of others.


Responsibilities:

  • Program Management:

  • Assists in development of and manages programs, facilitates and participates in cross-program and multi-sector workgroups, setting goals and objectives and providing work products and deliverables.

  • Facilitates activities throughout grant or contract life cycle including, but not limited to, planning and initiation / kickoff, timeline, and schedule development and tracking, status reporting, action item tracking, program closure, and lessons learned.

  • Works with staff and external stakeholders to identify risks and issues and develop mitigation strategies.

  • Responsible for managing the contract or grant lifecycle and overseeing quality execution from program initiation through closeout.

  • Facilitates program delivery and accepts ownership for the program's success.

  • Communication:

  • Coordinates program team, stakeholder, and vendor interactions using professional, clear, and respectful communication.

  • Plans and manages efficient program meetings.

  • Delegates tasks and responsibilities to appropriate personnel.

  • Identifies and resolves issues and conflicts within program teams.

  • Escalates risks and issues enabling leadership visibility to help resolve.

  • Provides guidance and technical assistance to staff for related programs.

  • Reporting: Develops reports on completed program effectiveness and future improvement recommendations.

  • Implements best practices and tools for successful program delivery.

  • Prepares high quality written reports, updates, summaries, and other documentation, as needed.

  • Compliance: Ensures compliance with grant and contract deliverables standards and maintains files/documentation/approvals in a centralized repository.
  • Other Duties: Performs other duties as assigned.
