International Student & Scholar Services (ISSS) is seeking a Program Coordinator II to plan, develop, and implement programs specifically designed to support the needs and cultural exchange for prospective, current, and former international students as well as their dependents and family members. We are seeking an experienced professional to coordinate our international student program efforts. We are looking for an individual who promotes and can demonstrate teamwork and respect for people in the workplace and in all interactions with internal and external clientele. The successful candidate must be adept at building strong interpersonal relationships. Salary:  $44,912.00 $57,740.80 (Based on candidates qualifications)

Other Requirements and Factors: Must be willing to work some evenings, weekends, and holidays. Must be willing to work on- and off-campus. Required to handle protected health information (PHI) as defined by HIPAA regulations in accordance with Texas A&M System policy. Required to complete HIPAA training as a condition of employment, within a reasonable timeframe after the individual’s hire date, and on an as-needed basis thereafter. Travel may be required. Remote work may be required.

Qualifications

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Four years of related experience in program coordination and outreach.

Required Knowledge, Skills, and Abilities:

  • Good working knowledge of word processing, spreadsheet, and database applications as well as presentation software programs, social media platforms, and web-based communication platforms, such as Zoom.
  • Strong ability to multi-task and work cooperatively with others.
  • Strong ability to also work independently.
  • Excellent and effective verbal and written communication skills.
  • Consistently effective organizational, interpersonal, and problem-solving skills.
  • Consistent attention to detail and sound judgment.
  • Experienced with comprehending and communicating technical information effectively and diplomatically as well as critical thinking.
  • Skilled at relating well with a student population.
  • Ability to provide exceptional customer service to many customers at the same time.
  • Ability to multi-task and work cooperatively with others.

Preferred Qualifications:

  • Bachelor’s degree or higher.
  • Advanced experience with program coordination, event planning, and/or external communication for various audiences, especially international students, scholars, and/or their dependents.
  • Experience working at an institution of higher education.
  • Experience working with people of different backgrounds.
  • Experience working for an organization that processes high-volume records, requests, and tasks.
  • Experience using computer software programs, such as SEVIS, Banner, PeopleSoft, ISSM, Terra Dotta, Sunapsis, and/or other immigration, student information, or customer relationship management systems.
  • Active member of NAFSA: Association of International Educators and/or other international or academic organizations.
  • Principal Designated School Official (PDSO), Designated School Official (DSO), Responsible Officer (RO), and/or Alternate Responsible Officer (ARO). Knowledge of TAMU policies and procedures. Familiarity with U.S. immigration policies and procedures.
  • Knowledge of Compass (BANNER).
  • Knowledge of Microsoft Office 365, especially Word, Excel, Outlook, and Access.

Essential Duties/Tasks

Customer Service & Communication

Plans, develops, and implements programs specifically designed to support the needs and cultural exchange for prospective, current, and former international students as well as their dependents and family members. Also provides support to other ISSS programs, including those designed more specifically for international scholars. Coordinates program communications and marketing through bulk emails, listservs, social media posts, webpages, and physical publications. Supports international students, international scholars, and their dependents, as well as to remote collaborators, via email, phone, online, and in-person. Provides information and advising to Texas A&M departments and external agencies related to office programs. Exercises independent judgement to resolve problems related to office programs. Triages and escalates complex matters to the appropriate supervisor as needed. Communicates verbally and in writing with customers of various backgrounds. Occasionally represents ISSS in some capacity, such as giving presentations, helping with Q&A during events, serving as office liaison to another unit, representing the office on a committee, or travel to meetings, conferences, or campus visits. Regularly assists with projects designed to support the needs of the office and clientele. May serve as a liaison for international students, scholars, and remote collaborators to campus departments, community members, and other organizations. Travels occasionally off campus to fulfill office business responsibilities. Exemplifies and promotes teamwork and respect for individuals in the workplace and in all interactions with internal and external clientele. Collaborates with others to regularly improve, and occasionally create new, programs, projects, website content, and/or other efforts to support clientele. Develop outreach and programming efforts to foster global awareness at Texas A&M. Schedules venues, communicates with vendors, recruits, develops, and leads planning committees and volunteers, coordinates event registration and attendance, prepares event proposals, maintains program budgets, and coordinates debriefs for events and programs. Assists with the communication of information updates to ISSS stakeholders through bulk emails, listservs, social media posts, ISSS webpages, and physical publications. Collaborates with ISSS leadership to regularly update and maintain the ISSS website. Oversees and coordinates ISSS social media communication. Coordinates donations and volunteer recruitment, correspondence, and record-keeping.

Policies & Procedures

Assists with the review, revision, and interpretation of rules, regulations, procedures, and policies relating to program coordination at Texas A&M and for international students and scholars within ISSS. Regularly researches and references internal and external policies and procedures when planning and implementing programs, completing reporting responsibilities, and advising clientele. Collaborates with office leadership to create, maintain, communicate changes, and provide training on internal office policies and procedures, particularly with respect to office programs.

Data Management & Reporting

Navigates complex and intricate office program coordination, health and safety, and risk compliance matters with multiple deadlines involved. Performs data collection, compilation, and statistical review for office programs. Assists in establishing short- and long-term goals and strategic planning for ISSS for office events, programs, and outreach to stakeholders as well as regularly evaluating progress toward those goals. Manages fiscal activities that directly impact the ISSS budget and assists with finding ways to directly benefit the ISSS budget. Prepares reports and specialized projects related to assigned program activities, such as event surveys. Maintains records for international student, scholars, and remote collaborators. Handles confidential (FERPA and HIPAA-protected) information.

Training & Professional Development

Learns, maintains knowledge, and keeps abreast of applicable Federal, State, University, TAMU System, and ISSS regulations, policies, and procedures. Actively participates in internal and external training to advance knowledge. As needed, provides training on internal office policies and procedures, particularly with respect to office programs.

Physical Requirements:

Must be able to work from the office and provide face-to-face customer service with ISSS clientele. Must be able to use a computer and telephone to perform work and interact with clientele. Must be able to use a copier and printer. Must be able to lift, move, or carry individual documents and paper boxes as part of the records retention process.
