The Health Science Center (HSC) is looking for a Program Coordinator II to serve as a member of the School of Medicine Preclerkship team. Required Education and Experience:

  • Bachelor’s degree or equivalent combination of training and experience

  • Four (4) years of related experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications

  • Ability to multitask and work cooperatively with others. Verbal and written communication skills

Preferred Education and Experience:

  • Master’s degree in Business Administration, Management, and/or Human Resources

  • Experience in health services and/or pre-clerkship medical education and/or

  • Experience in professional education program.

  • Two (2) year of experience in higher education, project management, or administrative role including some supervisory experience;

  • Experience with learning management systems – Canvas;

  • Experience working with diverse individuals and communities in a higher education setting.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of Pre-Clerkship UME courses and

  • Skills in understanding change and organizational development strategies.

  • Experience training, developing, counseling, and coaching diverse teams;

  • Proficiency in Google (sheets, docs, presentation, forms, etc.);

  • Knowledge of leadership and managerial principles;

  • Ability to gather, analyze, and interpret data;

  • Ability to change while simultaneously maintaining focus on objectives and envisioning the bigger picture;

  • Ability to apply innovative thinking to problem solving and strategy;

  • Excellent interpersonal and communication skills;

  • Ability to plan and organize effectively; and

  • Ability to forecast issues and consequences or proposed actions and identify alternate solutions.

Preferred Licenses and Certifications:

Responsibilities:

Pre-Clerkship Lead and Course Coordination - Serve as a lead coordinator for all course related information and scheduling for Pre-Clerkship Courses. This includes:

  • overseeing coordinator responsibilities and efforts of foundation and organ block Coordinators at campus and affiliate sites (Dallas, Temple, Round Rock, and Houston campuses);

  • ensuring all logistical tasks are completed for foundation and organ block courses (i.e., room reservations/scheduling Zoom sessions, exam setup/support);

  • collaborating with campus and affiliate site Coordinators to ensure proctors and rooms and/or Zoom sessions for exam, quizzes, labs and lectures are set-up according to School of Medicine and NBME Policy;

  • overseeing the creation and maintenance of foundation and organ block gradebooks and learning management systems;

  • ensuring campus and affiliate coordinators are accurately maintaining LMS course content, course gradebooks, and course grades

  • ensuring organ and foundation block course initiation meetings are scheduled and facilitated by lead coordinator for the course;

  • serving as primary administrative liaison with faculty regarding foundation and organ block courses and scheduling;

  • initiating short and long-term planning goals based on pre-clerkship program data and course needs;

  • coordinating the development of new and expanded pre-clerkship programs based on evaluations and input from stakeholders;

  • collaborating with Program Coordinator Is and course leadership to coordinate logistics and disseminate course materials required of curricular blocks, threads, clerkships and electives within the School of Medicine’s Undergraduate Medical Education (UME) program;

  • developing and delivering training material to new Program Coordinator Is on Pre-Clerkship policies and procedures;

  • administering curriculum in an e-learning environment utilizing a learning management system (LMS) system as well as additional required software applications;

  • managing the LMS and gradebook for the assigned courses; and

  • supervising Pre-Clerkship student workers and/or part-time employees

Pre-Clerkship Strategic Planning  - Oversee strategic planning and efforts to ensure multiple cross-functional processes and teams effectively and efficiently meet School of Medicine’s strategic planning initiatives. This includes collaborating with Pre-Clerkship stakeholders to:

  • develop and maintain relationships;

  • develop and oversee measures/indicators, strategies, methods, procedures, and timeframes related to the outcome of the strategic planning process;

  • identify program needs, develop procedures, and implement processes;

  • liaise with executive Pre-Clerkship Directors, Co-Course Directors, and Academic Affairs to plan, implement, and evaluate Regular Track Pre-Clerkship courses;

  • coordinate resources across multiple campuses and affiliate sites (staff, faculty, and administrators) to promote open communication and ensure meaningful collaboration; and

  • compile information to create standard operation procedures (SOPs) to ensure team members are operating form a formalized and coordinated process to increase productivity and reduce risk of errors.

Pre-Clerkship Programmatic Implementation - Serve as lead for Clinical Synthesis Integration Exercises (CSIEs) and Clinical Pathological Correlations (CPCs). This includes:

  • collaborating with Course Co-directors and other stakeholders to plan and implement content and activities;

  • communicating with other campus and affiliate (Temple, Dallas, Round Rock, Bryan) coordinators to implement CSIEs and CPCs on respective campuses;

  • managing the planning and logistics for CSIEs and CPCs at respective campuses;

  • updating campus and affiliate CSIE and CPC learning management systems (i.e., Canvas courses) for all campuses (Temple, Dallas, Round Rock, Bryan); and

  • maintaining (i.e., set-up, enter and finalize) CSIE and CPC gradebooks for all campuses.

  • Performs other duties as assigned.
