Job Purpose
We are seeking a Program Coordinator to manage our office, support programming logistics, supervise and mentor student staff and develop systems to support expanding programming. This position develops and maintains strong professional relationships and works collaboratively with a variety of internal and external stakeholders. Performs administrative duties in support of staff, student leaders, and visitors. This position will supervise a variety of student employee positions. This position will serve as lead instructor/facilitator on some field programming as fits their skill set and previous experience. May greet visitors and provide first point of contact, creating an inclusive and welcoming experience. Outdoor Programs (Gonzaga Outdoors and Immersive Outdoor Learning) at Gonzaga are growing co-curricular programs that focus on getting students in the outdoors in and around the Inland Northwest to create friendships, provide technical outdoor skills, develop leaders, and instill a sense of respect and awe for the outdoors. This position is primarily administrative with some opportunities for field time.

Function Details
  • Develop and implement systems to support program operations related to trips, logistics, office functions, and student staff training.
  • Coordinate trip and event logistics – vehicles, facility bookings, gear, food, etc.
  • Manage trip documentation process.
  • Coordinate accommodations and vehicle needs.
  • Serve as lead or assistant trip leader on Gonzaga Outdoors and Immersive Outdoor Learning trips either during the week or on weekends. Dependent on experience, this position may also lead week-long spring break trips, or multi-week domestic study abroad trips.

  • Supervise, train, coach, and mentor a variety of student employee positions (gear room staff, office assistants, finance coordinator, etc.).
  • Provide oversight and ensure smooth functioning of both weekly office tasks and longer-term projects.
  • Assist with accounting, budgeting, and purchasing processes: support Directors and student Finance Coordinator with expense allocation, reimbursements, refunds, and other departmental finance processes, generate expense reports, produce budget reports, supervise office supply purchasing, coordinate gear purchasing.
  • Coordinate student staff scheduling for 15-20 student positions.
  • Role model exceptional communication skills and a growth mindset.
  • Manage program recruiting and hiring processes for student leaders (approx. 20 student employees, approx. 30 volunteer trip leaders).
  • Facilitate the weekly office meeting for all student employees and professional staff.

  • Address issues as Trip Leaders and student participants bring them up. This will include answering questions, reiterating policies, directing students to other resources on campus and in the community, etc. This position has the opportunity to provide mentorship and support for students as they navigate personal and professional growth on a college campus.
  • Answer questions and provide excellent customer service to on- and off-campus partners and stakeholders.
  • Providing an inclusive environment welcoming all stakeholders is vital.
  • In the case of our Trip Leaders and Student Employees, challenging them to use their resources and solve their own problems is also important.

  • Contribute to the vision, mission, and strategies of Outdoor Programs.
  • Attend and contribute to Departmental, and Divisional (Student Affairs) meetings.
  • Safely drive a 12-passenger van with participants, as well as other University owned and rented vehicles.

Degree Required Bachelor's Degree or Equivalent Experience
Certifications and/or Licensures required
  • Wilderness First Aid or higher, Epinephrine Auto-Injector & CPR certifications.
  • Driver’s License and good driving record.

Knowledge Required Early career, knowledge may be from education and/or some experience

Minimum Qualifications
  • BA + one (1) year of related experience or five (5) years of related experience if substituting experience for education requirement.
  • Ability to work effectively with a diverse student population.
  • Candidates must be computer-literate.
  • Be able to work with social media applications and information management; and use of a range of Microsoft Office products.
  • This position requires excellent verbal, written, organizational, and interpersonal skills.
  • Experience leading outdoor trips in a formal role.
  • Previous successful work experience that includes a minimum of one (1) year of full-time or part-time equivalent experience in an outdoor recreation, outdoor recreation office management or equivalent.
  • An understanding of Justice, Equity, Diversity, and Inclusion topics.
Desired Qualifications
  • Knowledge of experiential education and outdoor leadership, with the integration of Jesuit perspectives.
  • Preferred to have a Wilderness First Responder Certification or higher.
  • An understanding and ability to apply student development theories with a priority on student learning and growth.
  • Previous supervisory experience is preferred.
  • Professional experience leading outdoor trips.
  • Ability to help further Justice, Equity, Diversity and Inclusion efforts our program progress in our work in this area.
  • Experience with emergency and on-call systems for wilderness programming.
Physical / Environmental Qualifications
  • Must be able to stay at a specific front desk location for 90% of shift.
  • Ability to prep for and attend meetings and events across campus in various weather conditions.
  • Wrist and hand movement related to computer work.
  • Bend, stand, lean, stoop, kneel, stretch and reach on a regular basis and for sustained periods of time.
  • Must be able to work outdoors for sustained periods of time in all weather and environmental conditions.
  • Must be able to lift and carry at least 50 pounds.
  • Must be able to safely self-transport over uneven terrain or in a confined space.
  • Must be able to work in shared spaces with other employees and customers.
