Job Overview

Georgetown’s multi-institutional Translational Biomedical Science (TBS) training program for pre-doctoral students and post-doctoral fellows within Georgetown-Howard Universities Center for Clinical and Translational Science (GHUCCTS). This inter-institutional training program spans Georgetown & Howard Universities, MedStar Health Research Institute, the Washington Veteran Affairs Medical Center and Oakridge National Research Laboratory.

The TBS Program, funded by an NIH TL1 training grant, is an integral part of the multi-million-dollar NIH Clinical Translational Science Award that supports GHUCCTS. An effective and dynamic TBS Program promotes the success of at least seven partnering graduate programs at Georgetown and Howard Universities and improves these partner programs’ competitiveness in renewing and obtaining new training grants housed at our GHUCCTS institutions.

With its seven years of success with more than 47 graduating Trainees, the TBS Program prepares pre-doctoral students and post-doctoral fellows (MDs and PhDs) to serve as the critical link in advancing the translation of basic science into improved outcomes for health, aging and disease. 

The Program Administrator has a critical role in ensuring the success of the TBS Program in the competitive renewal for this grant.

Job Overview

The Program Administrator operates all TBS activities, including the programming and communication associated with an annual cohort of Trainees & Mentors, the standing pool of Core and Center TBS Faculty, and the anticipated annual applicants. As well, they assist with all of the program’s financial management and reporting requirements.

Reporting directly to the TBS Program Director and to the Research Administrator of GHUCCTS, the Program Administrator provides them both with administrative assistance  and manages the day-to-day workflow of the office.

Financial Support

  • Assist the Research Administrator in overseeing and managing the spending on all grant (approximately $480,000 in total annual costs) and institutional (approximately $200,000 dollars in annual costs) budgets allocated to the TBS program; and assist in developing grant budgets for additional funding opportunities.
  • Ensure Trainees (a) spend their allocated funds for travel, tuition, healthcare, and research-related expenses consistent with the requirements and policies of NIH and GHUCCTS institutions and monitoring merit-based aid.
  • Assist in drafting the subcontract documents for Trainees at GHUCCTS institutions with the Research Administrator.
  • Manage the reimbursement of travel-related costs for Trainees, the Program Director, outside speakers, and honoraria for outside speakers. 

Program Support

  • Support the TBS Program Director with recruiting, and with managing the admissions process, including the development of online application materials and format, academic monitoring of Trainee progress, setting expectations and requirements, and administering disciplinary actions when needed.
  • Administer all TBS events, coordinating with administrators of other related events offered by other GHUCCTS institutions’ programs and national events sponsored through the national committee of TL1 Directors and the National Association for Clinical and Translational Science (ACTS).             
  • Assist with all required NIH reporting, including TL1-funded Trainee information through the NIH X-Train platform, to include start, annual progress, and departure; and develop and implement surveys that are used for assessing progress, achievements, and evaluations of the Trainees. 
  • Organize the TBS workshop series, which includes presentations on Responsible Conduct for Research (RCR) series required by all US government-supported training and career development grants (e.g., F30, F31, F32, TL1, T32, K series) and the GHUCCTS Grant Writing Workshop (GWW) series, which is open to all pre-doctoral students, post-doctoral fellows and junior faculty at GHUCCTS institutions.
  • Program all TBS events. including the TBS Windows into Translation series; Trainee Presents series; seminars, webinars, conference calls, in-person meetings, evaluations, grant reviews, and special events (e.g., TBS Salons); the judging of Predoctoral student and Postdoctoral fellow Poster Sessions at the annual meeting of the Association for Clinical and Translational Science.
  • Receive the reporting of key information from the Trainees, their Mentors, and TBS faculty, and participants in the RCR and GWW series.
  • Maintain and update TBS Website and social media accounts.

Work Interactions

The Program Administrator has communication responsibilities with the Program Director and co-Director and the TBS Executive Committee including the TBS Program assistants that support the co-directors of the program.

They also communicate with applicants, Trainees and their Mentors, the TBS Core and Center Faculty, and the Senior Administrative Director/Research Administrator of GHUCCTS; with the administrator supporting the Committee Chair of the National TL1 Directors, as well as other TL1 administrators in conjunction with the annual meeting of the Association for Clinical and Translational Science; with Trainees on managing student life balance; and with alumni and career services outreach efforts.

Requirements and Qualifications

  • Bachelor’s degree in Business, Finance or another related field
  • At least 3-5 years of progressive academic administration experience or an equivalent - preferably in the biomedical sciences field
  • Demonstrated skills in administrative, financial and research management
  • Progressive experience in related field
  • Knowledge of research training and graduate students training programs
  • Experience organizing events and programming for students, fellows and faculty
  • Demonstrated ability to interact professionally and effectively with investigators, sponsors, and cross-functional teams
  • Proficiency with Microsoft Office - e.g. , Word, Excel and PowerPoint
  • Proficiency with online collaboration tools - e.g. , Google Docs, BOX, Redcap
  • Skilled in scheduling and teleconferencing software - i.e. , Zoom, Google Calendar, and Doodle Polls
  • Working knowledge of Workday and Canvas software
  • Experience with designing surveys and other use of the Redcap database platform
  • Experience with website maintenance - e.g. , WordPress; Squarespace, unbound
