Job Summary

The Culinary Support Center (CSC) office supervisor's main responsibility is providing clerical support to the office staff, which coordinates employee records, building access, manages when to work, timekeeping, Eatec support, and CSC transfers and merchandise arrival. 

 

Essential Functions

 Office Supervision

  • Hires and trains 2-3 Direct Reports (student) that handle many various office responsibilities
  • Helps with common student questions, student meal credits, Y-Time questions, uniform deposits and distribution, student compliance issues, questions on points received or removal, employee locker distribution, certifications and training documentation, etc.

Eatec and Inventory Support

  • Prepares reports on Inventory variance to be reviewed by Supply Chain Manager
  • Supports Accounting with lot tracking needs
  • Supervises Eatec transfers and Merchandise arrivals at the CSC
  • Processes all documentation needed for end of the month books closing

Y time and When to Work supervisor for Culinary Support Center

  • Coordinate hiring with SESO and W2W schedules for student employees at CSC areas
  • Maintains records and wage history for employees 
  • Responsible for eForms, terminations, processing and job transfers for concurrent jobs from other departments
  • Corrects all missed punches
  • Coordinates all labor transfers between areas when students clock in under wrong account

 

Other Assignments as Delegated by Management

  • Including, but not limited to processing special orders, data entry, sorting incoming mail, processing inventory adjustments, etc.

Meetings

  • Attends and participates in regular staff with CSC full-time employees, prepares agendas, and takes minutes in meetings

 

Education/Experience

 Minimum education/experience required:   2 years of college or Associate's degree and 1 year of experience working in an office setting.      

     Preferred: Bachelor's degree and 5 years of experience in an office setting

 

     Skills, abilities, knowledge, licenses, certifications:

              Minimum Required: 

  • Intermediate to advanced understanding of Microsoft Office programs
  • Understands basics of table properties/spreadsheets, basic formulas, cell formatting
  • Experience with basic Visual Basics and simple Macros is preferred
  • Understanding of Microsoft Word and other equivalent word processing applications
  • Solid understanding of current grammar rules and punctuation rules in order to be able to write professional memos to CSC employees
  • Understanding of MS Outlook with the ability to schedule and modify appointments, and maintain multiple distribution lists and massive email contacts folder

                Preferred:

  • 1-year experience in an office environment with certifications or testable knowledge within MS Office applications.

  • Incumbent must be highly personable and able to work in high stress environment with constant interruptions.  It is important that the incumbent can make student employees feel welcome and comfortable to come into the office seeking assistance even when the incumbent is juggling many other projects at the same time.
  • Solid understanding of Outlook specific tools is preferred: categories follow up flags, importance classifications, rules, out of office assistant, etc.
