Position Summary

The Office of Education within the Department of Internal Medicine is seeking a Medical Education Program Specialist to join the administrative team and oversee and coordinate all aspects of the program within Internal Medicine. This position is team based but allows for significant independence and the program coordinator would have the opportunity to work with medical students in training to become physicians. The specialist works closely with the physician clerkship directors and office staff to help medical students succeed on their internal medicine rotation. Effective communication and problem-solving skills will make this job rewarding.  

The specialist serves as the main point of contact for medical students during their clinical years from building schedules to collecting evaluations and compiling grades. Many specialist tasks are cyclical, but the day-to-day needs of the students vary and may require creative solutions from the coordinator. The specialist partners with the physician clerkship directors in designing, scheduling, and facilitating both the core internal medicine clerkship and fourth year electives. This position is ideal for an individual with strong interprofessional communication and an interest in medical education including curriculum development and effective assessment.  

The specialist will communicate with students prior to clerkship rotations, build schedules, arrange for orientation and didactics, assist students throughout clerkship, and send reminders for required activities and due dates. The coordinator will work with faculty and housestaff in arranging didactics, collecting evaluations, and resolving minor conflicts. At the institution level the coordinator serves as the main point of contact for the office of medical student affairs helping to create seamless communication for transfer of student information and concerns. The coordinator manages expenses related to the clerkship and electives to ensure they are in line with the budget. During recruitment season the coordinator may assist the department with some residency-related tasks. This is a high priority position for a complex and active unit within Internal Medicine

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Demonstrated strong organizational skills and ability to handle multiple complex components of a program 
  • Demonstrated ability to work independently and remain focused
  • Strong interpersonal communication skills. Candidate must be able to communicate effectively, professionally, inclusively, and in a timely manner
  • Demonstrated ability to prioritize tasks in a busy environment on a daily, weekly, and monthly basis to meet deadlines 
  • Demonstrated effectiveness working in a team environment and supporting fellow employees in their work 
  • Experience with office related software such as MS Office, and database management. Experience with or ability to learn new programs quickly including Amion, Banner, New Innovations, BrightSpace, One45, Chrome River and SmartSheet
