Salary/Pay Range  $26.00+ hourly. Compensation will be commensurate upon experience and qualifications.

Summary

This position provides essential work and services for all operations of the Matrix Center. This position runs the Matrix Center office; maintains and updates the website and social media accounts; handles all financial operations including management of the budget, grants, and financials and engages in fundraising; logistically organizes all events, conferences, activities, and programs of the Center; works directly with the public and program participants; hires and supervises student employees and volunteers; promotes the Matrix Center and its programs; works with constituencies across and beyond the campus through collaboration, service, and education about the value of diversity and inclusion (based on research and best practices) with intention to assist organizations in skills acquisition to meet their organizational goals. This position works independently to carry out these tasks and reports to the Center Director, a full-time faculty member.

Essential Functions

  • The duties and responsibilities of the position include, but are not limited to:
  • Assist the director in monitoring and analyzing program level data to improve efforts. 
  • Enthusiastically represent the center and its programs and events on campus and in the community. 
  • Collaborate with DEI offices and leadership to engage students, staff and faculty in university wide DEI program trainings, workshops, and educational opportunities.
  • Collaborate with other departments and offices on campus.
  • Collaborate with faculty advisory leadership team in developing and implementing Center’s activities.
  • Responsible for day-to-day operations and management of the office. 
  • Hire and supervise student employees and volunteers
  • Provide on and off-site program planning including evening and weekend events, virtual events, and summer programs.
  • Serve as a liaison to maintain strategic partnerships across campus and in the community. 
  • Organize and maintain all records including in Dropbox and google docs
  • Manage marketing and communications

Event and Program Planning and Management:

  • Represent the center at community events and may staff a booth at local and national conferences, to build collaborative relationships and partnerships for existing and new events and programs.
  • Responsible for all operations of the annual, three-day Knapsack Institute conference. 
  • Organize and manages additional events including visiting speakers, film screenings, virtual presentations, etc.
  • Create and produce event and program marketing materials (e.g., campus, local and national)
  • Work with events services or others to produce and record events for private and public availability
  • Create registration systems and manage registration for conferences and events
  • Manage the application and review process for the conference and certificate.
  • Manage the application and review process for small grants program.
  • Plan, organize, and distribute materials for conference participants (e.g., readings, handouts, maps, instructions, etc.)
  • Manage volunteer development and coordination
  • Schedule, facilitate, and take notes at meetings with conference leadership
  • Serve as a member of the conference leadership team
  • Secure speakers and facilitators for the conference and other events.
  • Administer the evaluation process and overall assessment of the conference.
  • Design and distribute certificates of completion for the conference, and certificate. 
  • Work weekends and evening hours prior to events, especially the month prior to the conference. Works 12-hour days during the three-day conference.
  • Maintain and update the Matrix Center and Knapsack websites  
  •  Develop and implement a social media strategy.

Financial activities (including grants and donations)

  • Review the Center’s financial records quarterly, ensuring charges and income are accurate and assigned to the correct Speedtypes. 
  • Work with the Director to create an annual budget, ensure adherence to it, and create summary budgets to review with the Director.
  • Purchase needed supplies and materials for office, programs, and events.
  • Work with departments and units to process payments and transfer funds to the Center (e.g., units providing KI scholarships; Extended studies certificate funds, etc.) 
  • Manage the Center’s small grants program, soliciting, reviewing applications, making decisions in collaboration with the Director, and administering payments.
  • Deposit incoming checks into appropriate Matrix Center accounts from Certificate, conference.
  • Pay KI facilitators, visiting speakers, sponsored units, outside vendors, and complete journal-related invoices.
  • Ensure timely payment of the Center’s bills, including transfer of funds from Center accounts to pay for internal events/speakers 
  • Provide administrative support for Center-related travel. 
  • Assist with fundraising strategy and implementation.
  • Work with the CU Foundation to process, manage, and spend donations and grants.
  • Work with various financial systems including CU procurement services, CU data systems, and finance and accounting; other systems such as Concur, Cvent registration system, eComm platform for announcements, etc. 
  • Hire and pay employees, working with student employment, CU procurement services, etc.

Minimum Qualifications

Applicants must meet minimum qualifications at the time of hire.

  • Bachelor’s degree. Progressive professional experience can substitute for a Bachelor’s degree on a year-for-year basis.
  • Specialized knowledge of the field of DEI demonstrated by a major, minor, certifications, coursework, trainings, or workshops.

Preferred Qualifications

  • Can fluently engage in dialogues about diversity, inclusion, privilege, inequity, and inequality displaying similar knowledge as our program participants
  • Graduation from an accredited college or university with a Master’s degree in an area relevant to the Center’s mission
  • Experience with a procurement software system, Cvent or other event registration system and management software
  • Experience in event planning and project management.
  • Strong oral and written communication skills.
  • Demonstrated social media and website maintenance skills.

Tentative Search Timeline

  • Priority will be given to applications submitted by March 26th , 2024.
  • Potential interview dates: the week of March 31st , 2024.
  • Potential start date: May 16th , 2024 with potential for training to start in April 2024.
