The Facilities Services Department at the University of Colorado Colorado Springs (UCCS) is seeking a highly motivated individual for the position of State Classified Administrative Assistant II - Mailroom Clerk. This position is responsible for the physical work involved in the variety of general tasks involved, such as picking up mail tubs at the post office and delivering on campus as well as unloading, storing, staging for delivery, and computer equipment and supplies, on campus. Assist in the operation of Mail & Shipping Services by processing incoming and outgoing letters, flats, and parcels through sorting, metering, pickup & delivery in a timely and courteous manner. This position also serves in the general sorting and delivery functions of the mailroom and package tracking system.

The key responsibilities include:

  • Physically receives incoming shipments and verifies shipments with carrier’s (freight companies, UPS, USPS, FedEx and Amazon) record, refuses those shipments that should be directed elsewhere on campus.
  • Records receipt of all incoming express, postal certified, registered, insured, postal express, FedEx, UPS, and other freight deliveries by use of an automated PC bar code tracking system.
  • Stores materials in appropriate location until delivery can be made on campus.
  • Stages packages for delivery and delivers all such shipments on campus. 
  • Drives cargo vans or truck to transport and deliver packages.
  • Obtains signatures to confirm delivery at delivery point.
  • Downloads delivery information, uses dollies, pallet jacks, hydraulic dock lifts to stage material and assists in handling large, bulky and heavy packages. 
  • Preparation of outgoing shipments (freight companies, UPS, USPS, and FedEx) using appropriate packaging solutions and appropriate computer software, following Export Control guidelines. 
  • Sorting all incoming parcels, incoming mail, intercampus mail.
  • Knowledge of the location of all mail drops and faculty/staff locations. Physically move, deliver and pick up mail at designated mail stops on campus. 
  • Use of cargo van, dollies, and other material handling equipment to move mail tubs. 
  • Safely lifts tubs, and/or packages weighing up to 70 lbs. Recommends sorting and delivery changes in order to accommodate department relocations on campus.
  • Reconciles with USPS, calculates and distributes business reply mail to appropriate departments.
  • Enters Business Reply and Postage Due amounts into Excel spreadsheet.
  • Operates mailing equipment (electronic postal scale and postage meter). Knowledgeable in all local and international postal zone codes, special services, and assures mail is being processed in accordance with USPS rules and regulations and campus procedures.
  • Also knowledgeable in the University’s accounting system and related ability to determine account numbers to charge.
  • Performs all work in a safe manner.
  • Promotes harmonious relationship with other University departments through accurate sorting of mail and through personal and courteous contact while delivering mail on campus. Informs other distribution employees and the campus community of changing policies and postal regulations (Private Express Statutes).
  • Assists the university community with Postal related questions over the phone, via email and in person when necessary.
  • Solves problems, answers questions and disseminates information regarding mailroom procedures via phone and email to campus community.
  • Monitors external and operational condition of vehicle(s), completes and turns in Vehicle Driver Checklist whenever vehicle(s) are used.
  • Reports damage when observed and refuels when necessary.
  • Drives vehicles in support of processes required to pick up and deliver mail, freight and supplies in a safe manner.
  • Use various tracking systems to capture mail, parcel and freight delivery data.
  • Uses the ARMS tracking system to enter package data, to produce labels and reports, to arrange packages in staging area, and to deliver using the iPhone, which resolves problems with both the program and with mis-deliveries.
  • Enters new employee and department information into the database.
  • Maintains communications with the vendor for tech support and troubleshooting.
  • Writing and compiling information, paying bills with the PeopleSoft system, coordinating the meter download on a monthly basis, periodically forwarding mis-delivered mail and using the employee locator on the computer in order to find the correct address of an employee; compiles and updates the campus staff list.

Tentative Search Timeline:

Qualifications

Minimum Qualifications:

  • 2 years' experience in an occupational field related to the work assigned to the position. (Substitution: Appropriate education will substitute for the required experience on a year-for-year basis)
  •  Must have a valid Colorado driver’s license.

Preferred Qualifications:

  • Experience working in campus mailroom setting
  • 1 year or more experience in an Essential Personnel role.

Physical Requirements:

This position will exert up to 100 lbs. of force occasionally, and/or up to 50 lbs. of force frequently, and/or up to 20 lbs. of force constantly to move objects. Frequently stands and walks for prolonged periods of time to observe service areas and perform daily functions and inspections. Uses manual dexterity to manipulate supplies, tools, and equipment. Uses visual acuity to safely operate a vehicle and equipment, identify hazards, and perform daily functions. Frequently performs activities requiring a full range of body movements including climbing, balancing, stooping, kneeling, crouching, crawling, reaching, twisting, handling, fingering, feeling, talking, hearing near/Far acuity, depth perception and color vision. Exposure to weather - Exposure to hot, cold, wet, humid, or windy conditions caused by the weather. Exposure to Noise, vibration and confined/restricted working environments.
