LAUNCH is a unit of Undergraduate Studies  in the Division of Academic Affairs . LAUNCH is a collaboration of six teams that work together supporting students, faculty, and staff across Texas A&M University. LAUNCH promotes student success by providing high-impact educational experiences and challenges motivated students in all academic disciplines to pursue an enriched, intellectually-stimulating curriculum. LAUNCH programs include: Learning Communities, Academic excellence as indicated by university-wide awards and recognition, Undergraduate Research, National Fellowship preparation and selection, Capstone programs in research, service, leadership, teaching, and performance, and Honors programs. LAUNCH joins the university community in making Texas A&M a welcoming environment for all individuals. What we want

The Undergraduate Research (UGR) Program Assistant provides administrative support to the Program Manager for Undergraduate Research, and assists in the coordination of programs, activities, events, meetings and projects such as the UGR Scholars program, the UGR Ambassadors program, the UGR Expo, Explorations, and summer research programs. The ideal applicant will have experience in undergraduate research and be detail oriented with excellent organizational skills. They must have excellent oral and written communication and time management skills and be able to multitask and work cooperatively with others.  Must be adaptable and flexible in a changing collaborative team environment while demonstrating initiative. Proposed Hourly Pay rate: Pay rate starting at $18.00/hour (Based on selected hire’s qualifications).

Qualifications

Required Education and Experience:

  • Bachelor’s Degree or equivalent combination of education and experience.

Required Knowledge, Skills, Abilities and other factors:

  • Must be able to move or carry bulky or awkwardly shaped items and lift/move items of medium weight for event preparation.
  • Must be able to navigate through crowds at events or poster sessions.
  • Must be able to work some evenings and weekends.

Preferred Qualifications:

  • Bachelor's degree in any field.
  • Some administrative or project management experience preferred.
  • Experience in undergraduate research or working with students involved in undergraduate research, scholarship, or creative work.
  • Proficiency in advanced desktop publication software (such as Adobe Creative Cloud).
  • Ability to use spreadsheet and database programs.
  • Committed to producing high-quality work in accordance with LAUNCH and Texas A&M University brand guidelines and media standards.

Responsibilities
Event Preparation:

  • Assists with the preparation for Undergraduate Research program seminars, meetings, workshops, drop-in sessions, resource tables, orientations, and other special events.
  • Assists with activities and projects, including making room reservations, scheduling catering services, setting up for events, and preparing, printing, and/or purchasing any accompanying materials.


Information Disbursement:

  • Serves as the initial point of contact for Undergraduate Research program information and coordinates responses to requests for program information, including answering phone calls and faxes, maintaining the Undergraduate Research and Explorations email inboxes, occasionally giving presentations to student groups and departments, and generally being available for scheduled program activities.
  • In coordination with a MarComm representative, assists with the LAUNCH website, promotional materials and news releases, including editing, content creation, proofing, and publishing. May maintain materials for availability on the website.
  • In coordination with a MarComm representative, assists in the creation of press releases and other media items for Undergraduate Research programs.
  • Assists in the creation and distribution of program bulletins, reminders, and announcements for students.


Undergraduate Research Scholars:

  • Assists with monitoring deadlines and requirements students must meet to complete the Undergraduate Research Scholars Program.
  • Assists in maintaining program databases, contact and subscriber lists, and other spreadsheets.
  • Reviews Undergraduate Research Scholars theses for format and consistency and provides general support to students through events and meetings.


General Program Support and Assistance:

  • Assists in monitoring of Undergraduate Research student worker tasks and activities.
  • Assists in the inventory and purchasing of program materials and supplies.
  • Assists with the preparation of expense reports and travel arrangements.
  • Assists with the preparation of surveys, forms, evaluations, annual reports, program manuals,and presentations.
  • Researches and recommends changes to existing programs.
  • Serves as assistant to Associate Director, Program Coordinator, and Program Manager for Undergraduate Research.
  • Assists in the coordination and maintenance of the calendar of events, files and records for Undergraduate Research programs, activities, events, meetings, and projects.
  • Assists in the preparation and maintenance of program correspondence, materials, and files and may perform other duties as assigned.
