JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking an  Administrative Support Coordinator, level 3. An Administrative Support Coordinator is expected to manage and coordinate daily operations and provide high level of administrative and financial support. 

The successful candidate will be responsible for the following: 

  • Oversee the activities of a department; establish and assign priorities; ensure schedules are maintained and deadlines are met; develop processes and procedures for assigned area 

  • Prepare financial and operational reports and participate in preparation of short and long-range budget plans; review and approve financial transactions within established guidelines 

  • Coordinate and/or manage a wide variety of special projects 

  • Coordinate and oversee the processing of financial and human resources forms; coordinate office equipment purchases and material 

  • May manage departmental budgets 

  • May oversee or coordinate the operations and logistics of specialized programs 

  • Participate in promotion and tenure process to ensure documents are accurate and complete and deadlines are met 

  • Serve as facilities coordinator; oversee assignment and/or relocation of unit space and equipment 

  • Monitor maintenance contracts 

  • Analyze information for special projects and reports; draft speeches, handbooks, newsletters, articles, conference materials, etc. 

  • Lead the coordination of functions such as seminars, workshops, and banquets including travel, lodging, meals, etc. 

  • May participate in faculty searches 

  • Lead and direct the work of office/department support staff 

 

Education and Experience:

This position typically requires an Associate’s degree or higher plus 3 years of related experience or an equivalent combination of education and experience. 

In addition, successful candidates must either have demonstrated a commitment to building an inclusive, equitable, and diverse campus community, or describe one or more ways they would envision doing so, given the opportunity.
