Graduate Program Administrator, Mathematics

Reporting to the Director of Administration and Finance. Performs a variety of confidential duties in support of the Mathematics Department Graduate Program's financial operations, admissions, and student services.
Specific duties include but are not limited to:

  • Independently perform day-to-day financial administration of the graduate program roughly $3 mil dollar budget including preparing, verifying, and monitoring annual budgets, financial analysis, forecasting, and monthly reporting.
  • Allocate funds from federal, University, and private sources for graduate student tuition, stipends, travel, and other expenditures. Allocate TF/TA/RA positions for the department and set them up in payroll.
  • Monitor monthly TF/TA/RA Payroll Register to ensure accuracy for approximately 150 appointments per year. Analyze and resolve discrepancies.
  • Apply financial policies, compliance and accounting procedures. Ensure financial compliance with University policies and procedures and applicable legal rules and regulations.
  • Manage graduate student requirements, admissions data, correspondence, and outreach materials, organize pre- and post-admissions recruiting events, such as individually schedule prospective student visits.
  • Administers graduate student orientation, job-search seminar, gripe session, qualifying exams.
  • Serves as a liaison for graduate students with faculty, the GSAS financial aid office, the Registrar's office, GSAS, and the Student Affairs office.

  • BA/BS degree and 3+ years of experience relating to finance and student services in an academic or research setting is required.
  • Experience in financial accounting, budget management, as well as in student services.
  • Experience with admissions-related web applications (i.e., applyyourself, GCAST or Oracle based student record system (available through my.harvard.edu ).

  • Must have strong customer service orientation, enjoy working with students, and be able to interact and communicate effectively with a large and diverse community.
  • Superb organizational, communication (written and oral), interpersonal and time management skills required.
  • Must be able to: prioritize accurately and juggle multiple tasks simultaneously while maintaining accuracy and meticulous attention to detail in spite of interruptions; manage large volumes of work and meet shifting deadlines with flexibility and poise; handle complex and confidential matters with discretion.
  • Ability to learn new applications as needed.
