Job Summary

Harvard University Department of Earth and Planetary Sciences is looking for a new Research Group Coordinator. The Research Group Coordinator works closely with up to four faculty and manage all aspects of their teaching and research activities, including general administration, research administration, event organization/support, and other responsibilities. The Research Group Coordinator reports to the Associate Director.


Position Description

Administration

Performs a wide range of administrative duties requiring knowledge of University and departmental policies and procedures. Serves as primary contact for faculty members’ research groups and liaise with lab, department, University, and external stakeholders.

Serves as a source of information on complex fiscal policies and procedures including restrictions imposed by grant terms or reimbursement policies, and advises faculty and research groups on existing options or alternatives.

Organizes seminars, course trips and other events for faculty research groups. Prepares documents such as letters, reports, memoranda, and course materials. Responsible for maintaining and updating faculty and event websites.

Sponsored Research and Finance

Assist with pre- and post-award administration of federal and non-federal sponsored grants and departmental funds.

Prepares budgets and grant submissions for sponsored funds, oversees sponsored and non- sponsored accounts, monitors balances, and reconciles accounts.

Compiles financial projections for use in planning and decision-making.

Responsible for purchasing and processing payments of vendor invoices, corporate card payments, and individual reimbursements, and research accounting discrepancies.

Other

Assist with new research group coordinators training and provide departmental back up support as needed. Performs related job duties as required.


Basic Qualifications

A minimum of three years related experience in administrative or financial support.


Additional Qualifications and Skills

Bachelor’s degree strongly preferred. Ability to communicate effectively and professionally in writing and verbally. Ability to work independently with minimal supervision as well as work effectively as part of a team. Ability to handle complex and confidential information with discretion. Must be flexible, able to set priorities, and manage deadlines in a fast-paced environment. Must have outstanding organizational skills and a meticulous attention to detail. Demonstrated initiative and willingness to continuously develop new skills; and an ability to work with multiple supervisors and manage competing priorities, meet deadlines, and follow through on projects.

Advanced Excel, Word, and Internet research skills required. Commitment and interest in serving in key support role critical. Strong customer service orientation, good judgment, and flexibility is required. The ability to handle confidential material with tact and discretion is essential.

Work is performed in an office and laboratory setting.
