Occupational Summary

In conjunction with the Department of Anesthesiology Chair, Vice Chair of Education, Director of Fellowship Education, and Program Directors, the GME Program Coordinator shares in the implementation and compliance of all aspects of the management and administration of various Graduate Medical Education fellowship programs in thedepartment.

The Graduate Medical Program Coordinator may perform duties including but not limited to administration and management of the programs as well as planning and coordinating academic, operational, and financial activities; assist in the development, implementation, and ongoing compliance with the programs’ goals and objectives, monitor and bring to attention any changes in national requirements, and provide sound guidance and advice regarding significant fellowship program issues.

Work Performed

Compliance (ACGME, GME, ICGME) 

·        Acquire knowledge of current rules and regulations to comply with ACGME and institutional requirements.

·        In conjunction with the Program Directors, design and administer the programs’ educationalcurriculum and compile necessary data for continuous quality improvement and accreditation.

·        In conjunction with the Director of Fellowship Education, design and administer the program fellowship seminarseries and compile necessary data for continuous quality improvement and accreditation.

·        Ensure fellows education is compliant with national, hospital, departmental, and program policies

·        Manage the annual evaluations process of fellows, office staff, faculty, and program directly involved Assist in the management of program operational activities fellow education.

·         Ensure that educational goals and objectives are defined, disseminated, and met as directed by the academic curriculum. Develop a thorough knowledge of fellowship data bases to enhance fellowship programs and department efficiency.  Train personnel in use of such systems as required.  Annually update the databases.

·        Participate in the Institutional GME Committee at the discretion of the Director of Fellowship Education

Recruitment 

·        Participate in the creation, design and publishing of all recruitment material sent to prospective fellows.

·        Organize the annual recruitment of fellows within GME requirements.  Develop a thorough knowledge and use of SFMatch for applicable fellowship programs; develop a thorough knowledge of and be able to disseminate information regarding requirements of the AAMC National Resident Ranking Program for applicable fellowship programs; develop a thorough knowledge and use of the ERAS national database for applicable fellowship programs.

·        Have shared responsibility for management of fellowship programs consisting of an approved number of fellows through appropriate utilization of resources and delegation of responsibilities.

Fellowship Program Oversight and Management

·        Provide management assistance to Program Directors, faculty, fellows, and other departmental staff by supplying shared clarification of organizational and departmental policies, standards, operational procedures, and guidelines.  Provide appropriate leadership and guidance in conjunction with the Vice Chair of Education, Residency Program Director, and the Director of Fellowship Education for the overall operation of the Fellowship Programs.

·        Represent the department on required hospital/institutional/national committees at the discretion of theDepartment Chair, Vice Chair of Education, Residency Program Director, Director of Fellowship Education and/or the Fellowship Program Directors.

·        Communicate with fellows and Department Leadership regarding departmental and program activities.

·        Prepare and disseminate to all interested parties departmental and fellowship program information for departmental meetings as well as departmental/fellowship policies on a regular basis.  Manage the Office ofFellowship Education budget; manage and approve all expenses for the fellows ‘education fund.  Act as purchasing agent for all materials for the programs at the discretion of the Departmental Chair, Vice Chair of Education, Residency Program Director, Director of Fellowship Education, and/or Program Directors.

·        Organize team meetings and departmental activities as required.

·        Collaborate with other departments to ensure the continuation of quality fellow education.

·        Interface with the Institutional office of GME and work with the Designated Institutional Official.

Supervision 

·        Supervise designated employees; recommend various personnel actions including, but not limited to, hiring, performance appraisal, disciplinary actions and time off requests.

Experience

A minimum of three years of experience. Strongly preferred in Medical education .Experience with and knowledge of budgetary and financial processes. Thorough knowledge and understanding of the current ACGME Common Program Requirements, Residency Review Committee requirements, and Specialty Board requirements for certification and tracking for each specialty program. Be familiar with the ACGME Institutional Requirements andpertinent Duke University Hospital institutional policies and guidelines. Maintain continuing education by presentingand attending local, regional, and national meetings. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE


Minimum Qualifications
Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience
