UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Capital & Space Management, Real Estate, Sustainability and other teams responsible for planning and workload management. The Operations group includes Project Delivery, Maintenance & Construction, Campus Energy & Operations, Building Services, Transportation Services and Safety. We have an outstanding opportunity for a Fleet Program Operations Specialist.

Reporting to and working under the supervision of the Fleet Services Manager, this position is responsible for managing the transition of the fleet to electricity and other alternative fuels. This includes proposing and developing new electric vehicle charging sites, meeting with vendors, investigating the viability and cost savings of emerging alternative-fuel technologies, client outreach and education, and researching grant opportunities. The Fleet Program Operations Specialist will lead Fleet Services’ electrification and sustainability efforts.

The Fleet Program Operations Specialist works in conjunction with the Fleet Program Coordinator to provide office coverage for the Fleet Services Customer Service Center, including administering the vehicle rental program, providing excellent customer service, and general office support.

The Fleet Program Operations Specialist will be part of a team consisting of four Mechanics, one Lead Mechanic, three Service Attendants, one Program Coordinator and one Assistant Manager that support the maintenance and management of approximately 750 University of Washington vehicles, including light and medium vehicles, heavy duty trucks, and buses.

Primary Duties and Responsibilities

Fleet Electrification Program Management (50%)

• Perform project management processes necessary for successful delivery of projects that enhance Fleet electrification programs and strategies.
• In conjunction with the Fleet Manager, propose and develop new electric vehicle infrastructure sites.
• Review existing and proposed legislation related to fleet electrification or emerging sustainable fleet technology.
• Perform vendor research related to electric vehicle infrastructure, solar panels, and better emerging technology.
• Stay informed of Fleet industry trends, research and practices.
• Support the management of the installation and repair of charging stations across campus.

Communication and Data Reporting (20%) 

• Develop visualizations for fleet data, including emission reduction to be presented to Facilities executive leadership and campus partners.
• Submit quarterly and annual state and federal reporting related to fuel usage and mileage.
• Create and deliver reports and presentations to the Fleet Services Manager and Transportation Services Director, Associate Director, and Assistant Directors
• Lead quarterly vehicle electrification project meetings with campus stakeholders, including faculty and UW Facilities executive leadership
• Represent Transportation Services in daily business, at University meetings, and at meeting or conferences with the public.

Grant Writing (15%) 

• Independently research funding opportunities related to fleet electrification or better emerging technology.
• Report on grant opportunities to executive leadership.
• Lead departmental applications for grants and other alternative funding for fleet electrification projects.
• Manage the holistic life-cycle of the grant process.
• Communicate with grant-issuing administrators to support dispersal of funds.

Customer Service Operations (15%)

• Carry out customer service operations for Fleet Services' Customer Service Center in support of the Fleet Program Coordinator
• Act as a backup for the Fleet Services Customer Service Center in the absence of the Fleet Program Coordinator
• Explain and interpret Fleet Services policies and procedures to customers
• Assist with the development and implementation of Customer Service Center procedures
• Coordinate lost and found; resolve customer service complaints; vehicle citation coordination
• Provide general office support for the Service Center: Answer telephones, monitor email messages; distribute and send faxes; scanning; order and stock supplies

Requirements include:

• A Bachelor’s degree AND two years of experience in sustainable energy or sustainable transportation.
• Demonstrated excellent interpersonal and oral/written communication skills; ability to work successfully with people at all levels throughout the organization and with a wide range of constituencies; ability to maintain and model composure in a fast-paced, dynamic customer service driven environment.
• Ability to work independently and successfully coordinate multiple tasks within project priorities; demonstrated flexibility to meet changing/unpredictable needs.
• Excellent problem-solving skills; ability to analyze complex information, and to define and solve problems; ability to function effectively within a complex regulatory environment; ability to develop and interpret policies and procedures
• Demonstrated proficiency with standard productivity software include Microsoft Office Suite or equivalent

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Conditions of Employment:

• Work may be required during hours beyond standard business hours or regularly scheduled shift, including weekends; professional travel may be required.
• General office/shop environment. Work is generally sedentary in nature but may require standing and walking for up to 20% of the time. There are conditions caused by noise, dust, etc. Work is generally performed within an office or automotive shop environment. Exposure to materials or fumes consistent with an office or automotive shop.
• May be required to lift / move up to 40 lbs.
• Must be able to work in a non-smoking environment.
• Regular and predictable attendance onsite is required.
• This position is not telework eligible.
