Position Overview

The Financial Analyst position is responsible for the ongoing analysis and reporting on operations, revenue & expenditures, and financial projections. Reporting and project ownership will be needed to provide an appropriate level of information to management to facilitate effective decision-making. The position will work both in an office environment and remotely, and is expected to become highly familiar with all operations, regularly communicating with and visiting IT locations and staff. This position is responsible for strategic review of programs to ensure the improvement of KU Information Technology's business processes and review of operational revenue & expenditure impacts in accordance with the University's mission and goals.


Job Description

45% - Analysis & Reporting
This position will require pulling data from many different sources. A strong understanding of data
formats, manipulation, and clear formatting are required. Purchasing, receivables, asset management
and general accounting knowledge are required to understand the data for financial analysis and
reports. Advanced knowledge of workflows and processes are important and employed to meet operational requirements and to work with staff across units to review and improve processes. This position will conduct ongoing year-to-date and annual balance projection analysis. Report on network construction management operations, service revenue and customer base composition. Recommend adjustments to cost units or approach to receivables process. Report on variances and their causes, with focus on revenue variances. Responsible for providing functional subject matter expertise and daily workflow management in the application module (Maximo). Working with the KU Shared Service Center to provide support and feedback as needed, but most on revenue transactions. Creating revenue reporting and analysis by service.

25% - Accounts Receivable/Revenue Management
Generate invoices and provide daily, ongoing, functional support in the Maximo system. Process daily deposits. Perform monthly reconciliations.  Monitor and report on monthly accounts receivable balances and manage the collection of outstanding balances.  Manage projects and work orders in Maximo to ensure all processes and procedures are working effectively. Verify appropriate funding and manage monthly billings. Monitor and report on job costs and reconciliations. Provide feedback and financial analysis to IT Construction Managers and the Assistant Director of Operations. Document system processes and drive process improvements. Implement approved process changes. Provide financial reports on Maximo operations to management on a monthly basis and as needed.

20% - Inventory & Asset Management
Responsible for supervision and oversight of Maximo inventory balances, cycle counts and annual physical audits. Oversight of purchasing/receiving/reconciliation of project related material purchases. Assist with inventory workflow, asset tagging and reporting. Work with the Comptroller's office to locate assets for annual physical audit and to dispose of obsolete inventory. Analyze and create financial reports on changes in loss statistics and asset composition.

5% - Process Analysis
Advanced knowledge of workflows and processes are important and employed to meet the operational
requirements. Document system processes. Lead conversations between working groups to evaluate and understand cross functional roles within processes and make recommendations for process improvements.

5% - Other duties as assigned
Assist with numerous special projects to include the review and dissemination of policies and
procedures, training, bench marking, and ad hoc reports.


Required Qualifications

  • Bachelor's degree -OR- High School Diploma and 2 years of related experience.
  • 2 years of experience using accounting and automated systems or other related software.
  • 2 years of Microsoft Excel and financial reporting experience.
  • 1 year of cost accounting experience or Higher Education class exposure to concepts in classwork.
  • Strong organizational skills and self-directed as demonstrated in application materials.

  • Bachelor's degree in business or a related field.
  • Previous experience with University of Kansas accounting systems & Maximo
  • Asset and Asset Lifecycle Experience
  • Strong written and verbal communication skills
  • Experience in process review with documented outcomes.
